We are seeking an experienced Administrative Assistant that is able to multi task and provide overall support to our operations department. The employee will be responsible to handle a variety of duties and responsibilities including coordination of installations to support the operations department and drive customer satisfaction.

As an Administrative Assistant in this position the responsibilities will include, but not be limited to:
•Review new jobs and perform welcome calls to customer within 48 hours of job been booked.
•Perform pre-installation calls to confirm site readiness.
•Confirm appointments by calling the customers.
•Process job closeouts correctly.
•Provide all paperwork for jobs and get all packets/files ready for the installers and for the other departments (permitting, warehouse).
•Efficiently follow up on jobs and with the necessary departments to drive customer satisfaction and job closure.
•Daily updates to the Installation Portal (TIP) and Labor Scheduler (Gantt).
•Communicate with National Account Coordinators regarding site readiness, scheduling etc.
•Be able to backup the permitting process for assigned projects including preparation of required project permits/approvals, preparation of permit applications and packages, submitting and tracking permit application packages, monitor & document the various stages of the permit approval process, provide updates to clients/internal staff, meet deadlines.
•Perform tasks related to Material Handling as needed. Will be the backup of the Material Handler and will need to use Personal Protective Equipment, including but not limited to the use of safety boots when backing up MH.
Other possible tasks as needed by the business:
•Account Receivable- help support collections for multiple FL branches. (Contact and send invoices to customers and other related tasks.)
•Branch Actions- follow up with managers to complete customer requests.
•Record Retention- owns record retention process in the branch.
•Safety coordinator for the branch.
•Licensing-Responsible to follow process to comply with FDLE requirements and maintain employee files with documentation required for licenses.
•Perform general clerical duties to include but not limited to: photocopying, faxing, mail distribution and filing
•Create and modify documents including correspondence, reports, drafts, memos and emails using Microsoft Office
•Maintain electronic and hard copy filing system
•Open, sort and distribute incoming correspondence
•Coordinate meetings and conference calls as needed or anticipated
•Help prepare weekly reports and other departmental projects as needed
•Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner
•Answer calls from customers regarding their inquiries
•Maintain Outlook calendar(s) in current and accurate status.
•Assist in resolving any administrative problems.
•Other tasks as needed by the business.
What we look for
•High school diploma, or equivalent
•3+ years of hands on administrative support experience.
•Preferred 2+ years handling permitting, preferred in the constructions business.
•Proficiency in MS Word, MS Excel and MS Outlook a must
•Knowledge of operating standard office equipment
•Demonstrates a high level of customer service ability.
•Attention to detail.
•Has the ability to work independently.
•Must have the ability to multi-task in a fast paced and deadline driven environment
•Must be a team player, committed to working in a quality environment.
•Strong sense of urgency and problem solving skills
•Physical Demands: The physical demands listed are essential in order for the employee of this position to successfully perform this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Employee must be physically fit as it relates to normal warehouse functions. The ability to lift up to 40 lbs. is required. Grasping, lifting, bending, stooping, and twisting are involved. Extended periods of standing and/or sitting are frequently required. The employee is required to use always PPE including but not limited to steel toe shoes, gloves, safety glasses, bump cap, among others. The employee must have constant free mobility of hands, wrists and arms in order to operate computer/keyboard and other equipment. In addition, the individual should be computer literate and able to visually distinguish colors.
