Interest in production management, logistics, and/or <em>studio operations</em> strongly preferred.</li> </ul> </td> </tr> <tr> <td class="tbData"> </td> </tr> </tbody> </table> </div> <p><strong class="d-block mb-2">Qualifications:</strong></p> <ul> <li><span class="d-block mb-2" id="ctl00_CPH_lblQualification">5+ Years Strong telephone etiquette, communications and organizational skills. </span></li> <li><span class="d-block mb-2">Team player with exceptional interpersonal skills. </span></li> <li><span class="d-block mb-2">Working knowledge of Microsoft Excel and Word. </span></li> <li><span class="d-block mb-2">Bachelors Degree preferred. </span></li> <li><span class="d-block mb-2">Team player with exceptional interpersonal skills. </span></li> <li><span class="d-block mb-2">Working knowledge of Microsoft Excel and Word. </span></li> <li><span class="d-block mb-2">Must have <strong>at least one year experience supporting an executive at the Director or VP level</strong>. </span></li> <li><span class="d-block mb-2">Experience working in a fast-paced, frenetic production environment preferred. </span></li> <li><span class="d-block mb-2">Must have strong computer proficiency, including knowledge of MS Word, Excel, and Outlook. </span></li> <li><span class="d-block mb-2">Must have ability to learn and adapt to multiple proprietary production support software. </span></li> <li><span class="d-block mb-2">Must have solid communication skills, exceptional organizational skills and be very detail oriented. </span></li> <li><span class="d-block mb-2">Must be diplomatic and be comfortable interacting with employees at all levels of the company. </span></li> <li><span class="d-block mb-2">Interest in <em>production management</em>, <em>logistics</em>, and/or <em>studio operations </em>strongly preferred.</span></li> </ul> <p> </p> <p><strong class="d-block mb-2">Responsibilities:</strong></p> <ul> <li><span class="d-block mb-2" id="ctl00_CPH_lblResponsibility">Provide daily communication, basic clerical duties, and general administrative support. </span></li> <li><span class="d-block mb-2">Insure that pertinent operational information is conveyed within the department and to other departments as necessary. </span></li> <li><span class="d-block mb-2">Answer heavy telephones, give information and take messages. </span></li> <li><span class="d-block mb-2">Provide timely operational information to managers and employees. </span></li> <li><span class="d-block mb-2">Supports VP in various administrative tasks, including answering phones, memo drafting, and calendar maintenance. </span></li> <li><span class="d-block mb-2">Answers incoming calls to the department, ensuring an efficient customer service experience. </span></li> <li><span class="d-block mb-2">Acts as a backup to handle incoming Sales calls from prospective commercial, feature and television clients (e.g., describe facilities, provide pricing/cost information) and distributes inquiries to Production Service Reps. </span></li> <li><span class="d-block mb-2">Leads daily departmental meetings and facilitates the disbursement of key production information. </span></li> <li><span class="d-block mb-2">Responsible for daily call sheet maintenance, which includes making changes to title pages, updating information from the Production Service Reps, and distributing final corrections to all departments. </span></li> <li><span class="d-block mb-2">Completes Daily Production Summary and distributes via daily email. </span></li> <li><span class="d-block mb-2">Coordinates updates to the weekly activities report and USH studio production calendar. </span></li> <li><span class="d-block mb-2">Compiles lot-wide activities information and organization of the areas including but not limited to: production service representatives, special events, USH operations, catering, amphitheater, screening rooms and marketing. </span></li> <li><span class="d-block mb-2">Maintains <em>ScheduALL program</em>, including adding additional locations into the system and removing outdated information. </span></li> <li><span class="d-block mb-2">Maintains Document Management submission and retrieval. </span></li> <li><span class="d-block mb-2">Schedules office equipment repairs and maintenance. </span></li> <li><span class="d-block mb-2">Updates information on the shared drive and in Drop Box. </span></li> <li><span class="d-block mb-2">Thoroughly drafts and distributes Draft Deal Memos and Department Head Memos to all departments. </span></li> <li><span class="d-block mb-2">Processes payment requests for Production Services Reps for refunds and departmental services. </span></li> <li><span class="d-block mb-2">Assists Production Service Reps with production drive-ons, scheduling, and customer assistance as needed. </span></li> <li><span class="d-block mb-2">Orders and maintains office and kitchen supplies for the department. All other duties as assigned.</span> </li> </ul>
