Short Description
Provides administrative support in processing mail for the Division and distributing mail to
staff following the
mail distribution chart.

Complete Description:

The position reports to the Environmental Group Manager in the Department of
Environmental Protection
Bureau of Waste Management, Division of Reporting and Fee Collection, Waste
Transportation Safety Program
and provides administrative support to the Division, the Environmental Group Manager and
Solid Waste
Program Specialists in their mission to carry out the duties and responsibilities for statewide
implementation of
the Waste Transportation Safety Act

Process the Program's incoming and outgoing mail, this includes maintaining spreadsheets of
incoming and

outgoing applications for New, Renewal, Addendum applications, Pin Requests, Faxes; and
distributing mail to
staff.
Provides administrative work which requires the utilization of typing skills and the
application of
independent judgement in preparing letters, transmittals, written correspondence, technical
documents, fact
sheets, and mailings in support of the Division.
Ability to develop and set up clerical procedures for the process or office activities performed,
as requested by
the supervisor.
Ability to organize work in a manner which insures smooth processing and accomplishment
of priority items on
schedule.
Ability to proofread varying types of information for conformance with a prescribed pattern
or form, to assure
consistency and adherence to instructions and clerical office procedures, and administrative
or procedural rules.
Ability to operate office equipment and mail processing machines such as the adding
machine, photocopier,
postage meter, fax machine, computers, printers, scanners, and instruct others in their use.
Responds to phone calls, emails, mail, and inquiries from waste transporters, facilities, and
the public; answers
phones and manages phone calls in a professional, respectful manner, transfers calls to
appropriate persons; and
answers questions related to Act 90 and the Waste Transportation Safety Program.
Processes One-Time Exemptions for waste transporters/waste haulers that do not have Act
90 authorization.
Assists applicants with answers to questions concerning Act 90, the waste transporter
applications, and the
Waste Transportation Safety Program.

Assists the Division with Filing System retention and maintenance and file conversion to
OnBase system.
Evaluates forms, reports, applications, modules and suggests improvements, when
appropriate, as requested by
the supervisor.
Ability to operate a computer and use Microsoft Office Programs, including Outlook, Word,
Excel, Access, and
Teams (Teams Calls, Chat, Contacts, Meetings).
Ability to use eFACTS (Environment, Facility, Application, Compliance, Tracking System) and
GreenPort
System.
Creates and maintains eFACTS records, logs, electronic databases and reports for the
Program.
Develops and recommends internal procedures to improve the Program, as requested by the
supervisor.
Attends meetings, training, and conferences as necessary.
Completes workplace trainings in ESS/LSO and adheres to workplace policies, procedures,
work rules, and
telework agreements.

1. Associates Degree or Bachelor's degree in Administration, Business, or related and
comparable to duties of this
position.

2. Minimum 5 years of experience in professional office environment.

4. Perform basic math and calculations.

5. Learn, interpret, and apply policies, and procedures

6. Communicate effectively verbally and in writing.

9. Maintain effective working relationships.

10. Ability to effectively Telework

11. Ability to bend, kneel, lift, stand up/down while carrying files, folders, boxes weighing up
