The Human Resources Payroll Administrator plays a critical role at Total Vision, LLC and possesses a solid background in payroll processing activities. This position performs the payroll processing functions, including but not limited to, entry and maintenance of time keeping edits, adjustments, and reviews and analyzes payroll reports. Must possess strong communication skills and a willingness to develop strong relationships with doctors, leaders, and team members. Our Payroll Administrator will be a positive and helpful partner to Human Resources and Total Vision leaders to improve payroll processes and ensure accuracy.

 

CORE DUTIES AND RESPONSIBILITIES:

 

  • Responsible for processing payroll on a bi-weekly basis for 400+ Team Members in Ceridian Dayforce. This includes review of team member timesheets, audits, processing bonus, commission and retro payments.
  • Research, analyze and resolve payroll discrepancies. Provides proactive follow-up to team members when errors are discovered and resolved.
  • Process child support, wage garnishment calculations and ensure compliance.
  • Process final paychecks, severance payments, stop-payments, direct deposit reversals, off-cycle pay runs and voids as needed.
  • Process team member changes within Dayforce and prepare necessary documentation for team member notification and record keeping.
  • Administer Total Vision's 401(k) program including new hire enrollments, enrollment changes and end of year activities.
  • Process new hire documents and assist with payroll transition for new practices that join Total Vision.
  • Ensure timely issuance of annual W-2's
  • Respond to employment verifications including unemployment claims.
  • Create Dayforce training tools regarding payroll approval processes for leaders.
  • Prepare and maintain team member files in compliance with applicable laws and audit guidelines. Retrieve team member information from files as needed.
  • Respond to team member inquires in a timely manner including pay discrepancies, and general questions around Total Vision policies.
  • Prepare reports (both ad-hoc and routine) for Human Resources and Leadership as needed.

Assist the HR Manager and VP, HR with special projects, as needed.

 

 

POSITION REQUIREMENTS:

 

  • Bachelor's degree, preferably in finance, accounting or human resources.
  • 2-4 years' experience processing payroll in CA in a multi-site environment for exempt and non-exempt employees. Working knowledge of payroll best practices.
  • Ceridian/Dayforce Payroll Experience strongly preferred, but not required
  • Microsoft Word and Excel proficient
  • Detail oriented with effective communication skills are required, both written and verbal
  • Strong knowledge of federal and CA state regulations regarding payroll, accounting, and employment.
  • General understanding of taxation for employers and employees

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

 

  • Must be physically able to sit for long periods of time, read a computer screen for long periods of time, reach, and lift up to 20 lbs. Hand dexterity, and eye and hand coordination critical. Employee is subject to inside environmental conditions. Employee's schedule could include after hour projects, as needed. Travel, as needed.
