POSITION OVERVIEW

The Account Coordinator supports the Programs team by providing critical administrative and operational assistance. This role involves coordinating program schedules, maintaining documentation, and ensuring smooth communication between internal and external stakeholders. An Account Coordinator plays an essential role in enabling Program Managers to deliver projects on time and within scope.

KEY PERFORMANCE AREAS

  • Assist the Account Managers
  • Work closely with clients and internal teams to meet client expectations
  • Prioritize work flow and organize

JOB RESPONSIBILITIES

  • Attend and participate in scheduled team meetings
  • Provide administrative and clerical support in the preparation of orders:
  • Prepare design and construction drawing requests
  • Maintain clear communications with team leaders and Account Managers to monitor progress and expedite when necessary
  • Prepare survey request and follow-up with Survey team to ensure timely delivery
  • Assist in managing various phases of each project, and make sure due dates are met
  • Prepare Work Orders, Change Orders, Amendment Orders, and submit to Account Manager for review, then submit to Operations as needed
  • Follow up on approvals, e.g., construction drawing, survey, landlord, clients, permits, and all other required documents
  • Convey a positive and professional image through work ethic, attitude, and communication


  • Maintain accurate job schedules within the ERP system and utilize Job Scheduler to keep project tasks accurate and on schedule
  • Maintain open lines of communication and effective interface between all Gable teams to ensure a smooth flow of projects in process and a reduction in turn-around time on assigned projects
  • Organize and maintain all job files ensuring all documentation is included and updated
  • Prioritize work flow, organize and support Account Managers in a timely manner helping to expedite creditable and profitable sales efforts
  • This position requires approximately 5% travel via all modes of transportation. Overnight travel with a duration of one week may be required

PHYSICAL REQUIREMENTS

The physical demands described here are representative of those that you must do to successfully perform the essential functions of this position. Manual dexterity to operate computer to perform basic clerical functions. Visual acuity (with correction) and the ability to speak and hear. The work is sedentary. You may sit comfortably to do the work; however, there may be some walking, standing, bending and carrying of light items such as papers, books, and small parts, etc. Based on the physical requirements of this position a reasonable accommodation may be made to enable the physically challenged to perform in this position.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those a team member encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Periodic exposure to factory environment and condition such as fumes, dust and mist.
