Job Summary
Performs analytical reviews of the general ledger to ensure that all payroll transactions posted to the general ledger are accurate and timely. Prepare monthly labor reports to all fiscal officers; work closely with various departments in resolving liability and expense posting to the general ledger. Analyze payroll data to ensure accuracy and compliance to Federal, State Labor and Tax Laws also to KS Company Policy and the KSFA Union Agreement(s).
Essential Responsibilities
  • Performs analytical reviews and reconcile the system modules to the general ledger, work closely with Human Resources to ensure their payroll deduction ledgers are in balance and makes appropriate adjustments as necessary. Performs other related duties as assigned or requested.
  • Responsible to audit all payroll documentation to ensure accuracy, timeliness, compliance of all statutory laws and company and union policies. Further analyze, document and communicate in writing findings to internal and external colleagues. Prepares, composes, and edits communication spreadsheets as needed.
  • Responsible to generate and balance monthly labor reports to all fiscal officers. Works closely with various departments in resolving labor costing errors in a timely manner. Review, reconcile and prepare ledger sheets for all payroll related accounts on a monthly basis. Communicate in writing to staff calculation method in which pay was computed and paid.
  • Responsible to coordinate and process payroll jobs from beginning to end, print all reports, create interface, balance payroll liability and expense to FAS, transmit and request all payroll payments accurately and timely. Also sorts, distributes checks and receipts every other month accurately and timely.
  • Responsible to assist in all enhancements and upgrades to system software. Assist with internal and external payroll audits. Prepares various year-end audit schedules as directed. Assist Payroll Supervisor and/or Manager in daily operational needs.
  • Replies promptly and accurately to inquiries relating to all payroll transactions to the general ledger.
  • Performs multiple clerical tasks, retains all electronic and/or hard copy of payroll documents according to statutory and company policy. Completes all employment verifications relating to compensation accurately and timely.
Position Requirements
Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.
  • Associate's Degree.
  • Minimum 3 years of payroll experience with an automated HR/Payroll System.
  • Strong interpersonal skills to communicate effectively with various levels of management and staff.
  • Strong organizational skills to prioritize and handle multiple task and deadlines. Demonstrated ability to remain flexible in a demanding work environment and to adapt to a rapidly changing environment.
  • Strong ability to lead and/or work in-groups and teams to accomplish defined common goals and objectives.
  • Proven ability to work independently and under pressure.
  • Intermediate or higher computer skills.
Preferred Qualifications
  • Five years of payroll experience, worked with Lawson HR/Payroll System, experience with Flex and Cafeteria Plans ,
  • Strong computer skills, good verbal and written skills, responsible and accountable.
  • Supervisory experience.
Physical Requirements
  • Frequently sit, perform desk based computer tasks and grasp light/fine manipulation.
  • Occasionally stand/walk, write by hand, and lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel, crawl, climb, reach/work about shoulder, grasp forcefully.
Working Conditions
  • Work is conducted in an office environment but the purpose of the work may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday between 7 a.m. and 6 p.m. but evening and weekend hours may be required to meet goals and objectives.
