JOB SUMMARY The staff accountant works collaboratively with the Fiscal Department, Program Managers, and organizational leadership to ensure financial accountability for RECAP and compliance with all federal, state, and local awards to the agency, in accordance with Generally Accepted Accounting Procedures (GAAP) and Financial Accounting Standards (FAS) accounting rules and regulations. JOB RESPONSIBILITIES Review all assigned contracts and associated budgets for accurate and appropriate documentation, for processes on contract disbursements, and for contract reporting requirements and deadlines. Coordinate and collaborate with Program Managers and Directors to ensure funding is planned, requested and exhausted consistent with service to both the program and its constituents. Monitor, record, and project all accounting related information into assigned projection work records (spreadsheets). Communicate regularly and respond timely to all inquiries with funders. Periodically review accounts payable transactions, cash receipt transactions and payroll time allocation to ensure compliance with RECAP’s policies and procedures. Manage general ledger and financial statements for assigned contracts. Recommend ways to maximize funding consistently by reducing unnecessary costs and enhancing spending to ensure client value. Prepare and file all required reports in accordance with contract specifics. Prepare journal entries, analysis, account reconciliations to assist with monthly close processes. Prepare and understand all assigned documentation for external audit and contract reviews. Update financial records monthly to meet Board of Directors’ reporting deadlines. Perform all monthly balance sheet reconciliations consistent with assigned contracts. Respond to fiscal information requests for the agency. Review all assigned work in detail for efficiency and accuracy. Assist the Assistant Director and Senior Director Finance as needed. Work in professional manner to best represent the Fiscal Department to internal staff and external funders and clients. Maintain strict confidentiality of agency, financial, and client information in accordance with organizational policy and applicable regulations. Duties described are not intended to be an exhaustive list and may be amended or assigned as needed based on operational needs. QUALIFICATIONS/SKILLS Bachelor’s degree in accounting. Effective communication and strong organizational skills. Attention to detail. Proficient in Microsoft Office. Knowledge of multi-funded not-for-profit accounting. Advanced Excel skills preferred. CORE COMPETENCIES Analytical Thinking – Ability to interpret financial data, identify trends, and resolve discrepancies accurately. Attention to Detail – Thorough and precise review of financial documentation, reports, and reconciliations. Time Management – Ability to manage multiple deadlines, prioritize tasks, and meet reporting requirements consistently. Communication Skills – Clear, professional, and timely communication with internal staff, program managers, leadership, and funders. Problem Solving – Ability to identify issues, propose solutions, and support continuous improvement in fiscal operations. Collaboration – Works effectively with cross-functional teams and maintains positive working relationships. Ethical Judgment – Maintains confidentiality, handles sensitive information appropriately, and adheres to agency policies and accounting standards. Accountability – Holds self responsible for accuracy, timeliness, and completeness of work. Adaptability – Ability to adjust to evolving regulatory requirements, funding changes, or organizational priorities. PHYSICAL DEMANDS/ WORK ENVIRONMENT Work conditions may include exposure to inclement weather and noise. Position may require exposure to electronic equipment including computers, printers, fax machines, and copy machines, and cleaning equipment. If the position requires use of a motor vehicle, driving on city streets and/or highways, exposure to inclement weather and traffic; employees are to take all precautions and follow all laws while in these environments. This position requires constant punctuality and attendance at the job site. This position is primarily office-based but may require occasional travel between sites.
