AAP Staff is a growing full-service staffing company, and we are seeking an Accounting & Payroll Manager to join our corporate office in Roselle. This role is responsible for managing all aspects of payroll and billing, overseeing financial reconciliations, ensuring compliance with tax filings, and maintaining accurate financial records. The Accounting & Payroll Manager will also supervise the Payroll Clerk, ensuring payroll is processed efficiently and accurately.

Responsibilities:

Payroll Management:

• Oversee and process payroll using Avionté back-office payroll system.
• Ensure accurate and timely payroll tax filings on a weekly and quarterly basis.
• Process and submit quarterly 941 tax reports and other payroll-related tax documents.
• Supervise the Payroll Clerk, ensuring compliance with company policies and industry regulations.

Billing & Accounts Receivable:

• Manage all billing functions, ensuring invoices are accurate and processed in a timely manner.
• Generate and issue client invoices, track payments, and follow up on outstanding balances.
• Monitor accounts receivable, reconcile billing discrepancies, and manage collections when necessary.

Financial Management & Bookkeeping:

• Enter and reconcile financial transactions using QuickBooks Online.
• Perform bank account reconciliations, ensuring accuracy of deposits, payments, and outgoing funds.
• Track and evaluate financial budgets, expenses, and forecasting to support business operations.
• Manage and analyze Profit & Loss (P&L) Statements for financial reporting.
• Ensure accurate financial record-keeping and assist in preparing reports for leadership.

Reporting & Compliance:

• Maintain compliance with company bookkeeping, tax, and payroll regulations.
• Ensure all financial reporting deadlines are met on a weekly and monthly basis.
• Handle sensitive and confidential financial data with discretion and professionalism.
• Work closely with senior management to streamline financial processes and improve efficiency.

Skills & Qualifications:

• Proficiency in Avionté back-office payroll system (required).
• Proficiency in QuickBooks® Online for financial management (required).
• Strong knowledge of payroll processing, tax filings, and quarterly reports.
• Experience in billing, invoicing, and accounts receivable management.
• Advanced skills in Microsoft Excel and bookkeeping/spreadsheet software.
• Ability to analyze P&L statements and generate financial reports.
• Strong multi-tasking, prioritization, and deadline management skills.
• Excellent data entry and reconciliation abilities.
• Staffing industry experience is a plus.
