Position Summary

This position will provide administrative assistance to the SVP of Global Marketing, the VP of Global Integrated Communications, and the VP of Global Consumer Engagement. We will give you day to day exposure to collaborative and creative teams that are responsible for bringing the Bobbi Brown brand experience to consumers, key opinion leaders and influencers around the world. This is a fantastic opportunity to join a team and get exposure to all facets of marketing. We are looking for someone to hit the ground running as a day-to-day support to the team. This position has multiple avenues for growth within the Bobbi Brown or Este Lauder Companies.

Accountabilities

Management and coordination of calendars and meetings:

  • Serve as the liaison between the SVP & VPs, internal departments, and outside management.
  • Coordinate meeting logistics, prepare meeting agendas and distribute any additional required documents.
  • Manage multiple projects simultaneously, ensuring meetings are prioritized and deadlines are met.
  • Manage domestic/international travel arrangements and organize itineraries.
  • Ownership of team vacation calendars.
  • Meeting setup including A/V coordination, catering, agendas, product samples and necessary documents, sending presentations.
  • Coordinate new hire orientations and onboarding including IT access, security and office setup for all Global Marketing hires.
  • Assist with team event planning.
  • Send product when necessary.
  • Corporate card expense reconciliation.

Support The Integrated Communications Team With Special Projects

  • Assist in event production including the execution of multi-day global influencer events and New York Fashion Week
  • Support with influencer partnerships, outreach, and mailings to generate buzz, impressions, and brand love.
  • Manage department product orders and maintain closet inventory.

Support The Consumer Engagement Team With Special Projects

  • Work cross-functionally with internal teams to assist in the creation of go-to-market toolkits.
  • Assist in social media content calendar management including programming of content calendars, programming and community management across Instagram, Facebook, and YouTube.
  • Partner with Community Manager to lead in the planning and execution of surprise & delights and giveaway activations to build fan love and loyalty.

PO Management/Invoicing

  • Manage expenses and invoicing for all three departments, serving as the point of contact between Bobbi Brown and all outside vendors.

Qualifications

Qualifications

  • BA required.
  • 1-3 Years Experience.
  • Strong computer skills: Microsoft Word, Excel, PowerPoint. Experience with creating presentations.
  • Organizational and planning skills, with the ability to multi-task, understand priorities.
  • Excellent follow-through skills with respect to detail.
  • Ability to exercise professional discretion, sound judgment and decision-making abilities.
  • Ability to interact professionally and interface with all levels within the organization.
  • Independent self-starter who must be comfortable working in a fast-paced environment.
  • Ability to handle multiple tasks and know how to prioritize.
  • Ability to handle matters of a highly confidential nature with professionalism and discretion.
  • Knowledge of fashion and beauty industry preferred.

The anticipated hourly range for this position is $26.75 to $39.75. Exact hourly rate depends on several factors such as experience, skills, education, and budget. Hourly range may vary based on geographic location. In addition to hourly rate, this position may be eligible for an annual discretionary bonus.
