Summary

The Customer Service Representative Responds to customers’ inquiries in person, by telephone or e-mail. Issues vehicle access decals per the approved policies of the Association. Maintains databases to record and track current information.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Support Sandestin Owners Association (SOA) staff by answering main phone line and greeting and assisting customers.

Enforce the Association policies for issuing vehicle passes/decals for all customers requesting access, which includes, but is not limited to, owners, contractors, service personnel, employees, and club members.

Validate credentials for each type of customer prior to issuing access decals and/or owner ID cards.

Maintain Database Manager to ensure owner and employee information is up to date.

Validate current owner status to issue owner vehicle decals and property ID cards.

Submit deposits to the Assistant Executive Director.

Maintain adequate inventory for each type of RFID and/or decals.

Maintain, collate, and distribute New Owner Welcome Packets to new homeowners.

Perform other miscellaneous administrative duties as requested by the Assistant Executive Director.

Is consistently at work and on time; ensures work responsibilities are covered when absent; arrives at meetings and appointments on time.

Supervisory Responsibilities

This job has no supervisory responsibilities.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and/or Experience

High School Diploma; or three to six months related administrative/customer service experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Ability

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.

Computer Skills

To perform this job successfully, an individual should have knowledge of Database software; Internet software; Payroll systems; Microsoft Word, Excel, Adobe and Powerpoint

Certificates, Licenses, Registrations

Requires a valid driver’s license.
