Job Summary
\nThe HR, Administration & Office Manager is responsible for overseeing Human Resources, office administration, payroll and benefits support, and corporate services functions for Triumph Lead Group USA. This role serves as the primary point of contact for employee-related matters, office operations, vendor management, travel coordination, company lodging, and visitor support. The position ensures efficient day-to-day business operations, compliance with company policies, and a positive employee and guest experience while supporting the needs of both local employees and overseas stakeholders.
\nKey Responsibilities
\n1. Human Resources Management
\n- \n
- Manage the full employee lifecycle, including recruitment coordination, onboarding, employee records management, performance management support, and offboarding. \n
- Maintain employee personnel files and HR documentation in accordance with company policies and applicable regulations. \n
- Serve as the primary point of contact for employee inquiries regarding policies, benefits, leave administration, and workplace matters. \n
- Support employee engagement activities, communications, and workplace culture initiatives. \n
- Assist management with employee relations matters and HR policy implementation. \n
- Ensure compliance with employment laws, workplace regulations, and company policies. \n
2. Payroll & Benefits Administration

- Coordinate routine payroll activities and serve as the primary liaison with payroll providers to ensure timely and accurate payroll processing. \n
- Review employee data changes including new hires, terminations, compensation changes, and benefit deductions to support payroll accuracy. \n
- Support employee benefits administration, including enrollments, changes, terminations, and employee inquiries. \n
- Coordinate with benefits providers, brokers, and employees regarding benefit programs and related communications. \n
- Assist with annual open enrollment activities and employee benefit education. \n
- Maintain payroll and benefits records and support compliance with applicable company policies and regulatory requirements. \n
- Support reporting, audits, and reconciliation activities related to payroll and benefits administration. \n
3. Office Administration & Facilities Management
\n- \n
- Oversee daily office operations to ensure an efficient, organized, and professional work environment. \n
- Manage office facilities, maintenance activities, office supplies, equipment, and service providers. \n
- Coordinate office leases, utilities, service contracts, and vendor relationships. \n
- Develop and maintain office policies, procedures, and administrative processes. \n
- Ensure workplace readiness, safety, and operational support for employees and visitors. \n
4. Corporate Services & Visitor Coordination
\n- \n
- Coordinate travel arrangements, accommodations, transportation, and logistics for company visitors, executives, and overseas employees. \n
- Manage company lodging, housing arrangements, and related vendor relationships. \n
- Support business visitors from overseas, including travel planning, office access, workspace preparation, and local logistical support. \n
- Coordinate meetings, company events, customer visits, and executive activities. \n
- Serve as the primary liaison for administrative support related to international visitors and business travelers. \n
5. Vendor & Administrative Management

- Manage relationships with office vendors, service providers, landlords, and external business partners. \n
- Coordinate purchasing activities related to office operations and corporate services. \n
- Review invoices, manage administrative budgets, and support expense tracking and approvals. \n
- Maintain accurate administrative records, contracts, and service agreements. \n
6. Compliance & Operational Support

- Maintain confidential employee and company records. \n
- Support internal audits, document retention requirements, and administrative reporting activities. \n
- Ensure labor law postings, office licenses, and required business documentation remain current. \n
- Identify opportunities to improve operational efficiency, employee experience, and administrative processes. \n
Required Qualifications
\n- \n
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field. \n
- 5+ years of experience in Human Resources, office administration, operations, or a related function. \n
- Experience managing HR processes and office operations within a small to mid-sized organization. \n
- Experience supporting payroll and employee benefits administration. \n
- Strong knowledge of employee lifecycle administration, office management, and vendor coordination. \n
- Excellent organizational, communication, and interpersonal skills. \n
- Ability to manage multiple priorities and operate independently. \n
- High level of discretion and ability to handle confidential information. \n
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). \n
Preferred Qualifications
\n- \n
- Experience supporting multinational organizations and overseas stakeholders. \n
- Experience coordinating international travel, company lodging, and visitor arrangements. \n
- Experience with HRIS, payroll, and benefits administration systems. \n
- SHRM-CP, PHR, or related HR certification preferred. \n
- Mandarin language proficiency preferred to support communication with overseas stakeholders and visitors. \n

Work Environment and Physical Requirements

Occasional lifting of office supplies or materials may be required. Flexibility may be required to support company visitors, business events, and travel-related activities.
