Job Title: Administrative Assistant (Asset & Wealth Management)

Contract Length: 12+ Month contract

On site work

Location: Cohoes, NY (Onsite) 12047

Pay: 25 per hr on W2


We are seeking a highly organized and proactive Administrative Assistant with 5+ years of experience to support financial advisors and account managers in a fast-paced wealth advisory and private family office environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities while delivering high-quality administrative support.

Key Responsibilities

  • Provide comprehensive administrative support to financial advisors and account managers, including team backup as needed
  • Manage and coordinate complex calendars, meetings, and scheduling logistics (internal and external)
  • Organize client calls, advisor meetings, and teleconferences, resolving scheduling conflicts as needed
  • Coordinate domestic and international travel arrangements and process expense reports
  • Handle confidential and sensitive client information with a high level of discretion
  • Prepare and distribute correspondence, reports, presentations, and documentation
  • Interact professionally with senior leadership and clients
  • Organize, ship, and track client materials; respond to client inquiries and follow-ups
  • Support onboarding of new team members and assist with new client account setup and data entry
  • Maintain knowledge of company policies and independently resolve administrative matters
  • Perform general administrative duties including filing, scanning, copying, archiving, inventory management, invoicing, and mail processing

Required Qualifications

  • 5+ years of administrative experience supporting senior executives, financial advisors, or similar roles
  • Experience in financial services, asset management, wealth management, or related environment
  • Strong ability to handle confidential and sensitive information
  • Excellent written and verbal communication skills
  • Strong organizational skills with attention to detail and ability to prioritize
  • Ability to work independently and manage competing priorities in a fast-paced environment
  • Proactive problem-solving skills with strong follow-through
  • High level of professionalism, integrity, and discretion
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Preferred Qualifications

  • Experience in wealth management, private banking, or family office environments
  • Familiarity with expense management tools such as SAP Concur

Work Environment

  • 100% onsite role in Cohoes, NY
  • Fast-paced, client-facing financial services environment
  • Requires strong coordination, responsiveness, and attention to detail
