Administrative Assistant & Receptionist Your Role at a Glance The Administrative Assistant & Receptionist serves as a key point of contact for daily operations at our headquarters. This full‑time, onsite role supports front‑of‑house experience, office operations, and onsite activities, ensuring a welcoming, professional environment. The position requires strong interpersonal skills, attention to detail, and a service‑orientated mindset. While standard business hours apply, occasional flexibility is needed to support meetings, events, or business activities. How You’ll Drive Success Administrative & Office Operations Own the operator queue and manage incoming calls appropriately Handle mail and package distribution Support general administrative office functions as needed Maintain organization and professionalism of common and reception areas Front of House and Visitor Experience Greet, check in, and escort visitors as needed Serve as an ambassador for the company, providing high‑level facility tours when appropriate Ensure all visitors feel welcomed, informed, and supported during their time onsite Facilities & Inventory Support Manage inventory of office and cleaning supplies Coordinate replenishment to ensure uninterrupted daily operations Support Facilities team needs to maintain a functional, professional workspace Event & Onsite Support Help with onsite meetings, trainings, and events Assist with light set‑up, breakdown, and coordination support as needed Act as a resource during high‑traffic or high‑visibility onsite activities The Talents We’re Seeking Education & Experience High School Diploma or GED required; Associate degree preferred. Minimum one year of previous administrative assistant experience with responsibility for answering/directing calls and greeting visitors in a professional office setting. Previous administrative or clerical work experience preferred. Proficiency in Microsoft Word; knowledge of Excel, PowerPoint, Outlook, and Teams. Required Skills Strong interpersonal and communication skills. Professional demeanor with a customer‑service mindset. Ability to multitask and adapt in a dynamic environment. High level of discretion and reliability. Comfortable interacting with employees, leadership, customers, and external partners. Prior administrative, reception, or office coordination experience preferred.
