Cooperidge Consulting Firm is seeking a Client Service Associate / Administrative Assistant for a top Boutique Financial Advisory Practice in Cherry Hill, NJ.
With over 30 years of excellence in retirement and estate planning, our client is looking for a senior administrative professional to serve as the operational backbone of the firm. Supporting a senior executive, this role acts as the primary point of contact for high-net-worth clients and external partners. The ideal candidate is a proactive, solution-oriented "right hand" who can manage complex logistics, improve practice workflows, and maintain the highest standards of discretion and professionalism.
Job Responsibilities
- Executive Support: Manage the senior executive’s complex calendar; prioritize, schedule, and coordinate high-stakes meetings with clients and internal teams.
- Client Relations: Serve as the primary point of contact for clients and prospects, ensuring all communications are handled with exceptional professionalism and timely follow-up.
- Meeting Management: Compile comprehensive meeting materials, coordinate virtual/in-person logistics, and transcribe detailed notes and action items post-meeting.
- Project Tracking: Monitor deadlines and deliverables; ensure tasks across the practice are assigned and completed accurately and on schedule.
- Operational Excellence: Identify opportunities to enhance office workflows and client service processes; maintain a professional office environment consistent with firm standards.
- Compliance & Discretion: Handle sensitive firm, personal, and client information with absolute discretion and an awareness of industry regulatory requirements.
Requirements
Education
- Bachelor’s degree in Business, Communications, Finance, or a related field is preferred.
Experience
- Minimum of five (5) to seven (7) or more years of experience as a Client Service Associate or senior administrative professional.
- Prior experience in Wealth Management (RIA, broker-dealer, bank, or family office) is REQUIRED.
- Proven experience interacting with high-net-worth clients and external professionals (CPAs, Estate Attorneys).
Skills
- Technical: Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Zoom/Teams, and industry CRM systems.
- Organization: Exceptional time-management and prioritization skills; ability to manage competing priorities with extreme attention to detail.
- Communication: Superior written and verbal communication skills; ability to transcribe notes and prepare professional client materials.
- Mindset: Proactive and solution-oriented; ability to operate with a high degree of independence in a fast-paced environment.
