Job Description

Assists the President of Northbridge University - Florida and DAVE School with vital support to the organization by managing a wide range of tasks, including scheduling, communication, and office management. Transcribe and compile complex documents, correspondence, and reports. Work independently and with a supervisor to set up and revise forms and reports. Proofread documents for accuracy and edit for correctness. Facilitate the completion of documents by contacting the originator to address any problems or questions. Develop new operator and machine/desktop publishing applications, and test software for routine and/or special projects. Provide appropriate documentation of departmental procedures.


Minimum Requirements:

  • Associate Degree from an accredited institution.
  • Previous experience (2 years) in an administrative assistant role, preferably in a higher education institution, and/or college environment.
  • Considerable knowledge of office administration and working with management.
  • Demonstrated ability to be detail-oriented, adaptable, proactive, and take initiative.
  • Flexible schedules, including traveling to different campus locations.
  • Proficient knowledge of Excel - understanding of Google Sheets and Excel, including creating VLOOKUP, Pivot Tables, Macros, Formulas, and Functions.


Essential Duties and Responsibilities:

  • Operates diverse applications to generate documents, diversified correspondence, commitments, policies, endorsements, binders, letters, memos, etc.
  • Uses moderate to advanced equipment capabilities to produce and revise complicated documents, e.g., more involved policies, binders, and other legal documents.
  • Prepare management reports and special projects as requested.
  • Proofreads and edits own work.
  • Perform general secretarial duties. May assemble title insurance policies and accompanying documents for copying.
  • Answer the telephone; take and deliver messages to other departments.
  • Communicate with supervisor, operators, and users to resolve specific problems/questions with regard to documents.
  • Provide information/editorial assistant to Management.
  • Give support to their supervisors and administrative assistant.
  • Perform daily operations reports.
  • Coordinate travel, meetings, and calendars from their supervisor’s internal and external constituents. Prepaid agendas.
  • Coordinate travel arrangements demonstrates good judgment to plan and accomplish goals.
  • Maintain office records in compliance with the record management policies.
  • Provide and confidential administration support.
  • Perform duties using independent judgment and initiative.
  • Preparation of correspondence in the voice distribution list and other documents as requested. Other includes faxing, photocopying, and mailing.
