Job Description

Iowa Department of Transportations Mission is Making Lives Better Through Transportation. Location: Ankeny, Iowa

Shift: Monday Friday 8:00 to 4:30; Flex schedule available

The Administrative Assistant 2 supports the Records Manager within the Systems and Administration Bureau for the Iowa Department of Transportation. The purpose of this position is to provide Iowa's framework for the technical licensing program to meet the national guidelines of one singular driving record concerning American Association of Motor Vehicle Administrators (AAMVA) guidelines, Federal Motor Carrier Safety Administration (FMCSA) rules, Iowa law, and Administrative rules concerning the operation and licensing of commercial and non-commercial drivers that are currently licensed in Iowa, intend to become licensed in Iowa, or licensed in another jurisdiction that may travel through Iowa and violate Iowa laws.

What you will need to succeed in this position:

  • Ability to interpret laws, rules, policies, and procedures.
  • Ability to manage multiple projects.
  • Contribute to a positive team environment by fostering professional relationships.
  • Sensitivity to handle elevated customer issue resolution and external contact.
  • Ability to communicate effectively and facilitate common understanding through phone, e-mail, and written instruction.
  • Ability to remain organized, analytical, and problem solve.
  • Attention to detail and compliance focused.

Here is what you will do in this position:
  • Research, review, analyze and understand complex state administrative rules, state and federal statutes and regulations to determine required action and conduct proper exercise of discretion where discretion exists.
  • Perform investigative duties with inquiries from other states regarding changes on record status, while authorizing or rejecting licensing requests.
  • Interacts with other agency staff; employers; state, federal, county or municipal officials, and the general public to obtain and provide information.
  • Evaluate driving records are under compliance with Iowa Code Chapters 321, 321A, 321C, 321J, and corresponding administrative rules. Advising internal staff and external customers, answering questions regarding driving records as subject matter expert.
  • Researches, maintains, compiles, evaluates records, reports and supporting documents for information processing and retrieval purposes.
  • Corresponds and educates both internal and external customers in writing and over the phone, including the ability to deescalate stressful situations.

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
