We're looking for two (2) Administrative Assistant 5's to join our team to support the Financial & Business Services Division. The Opportunity:
Our first Administrative Assistant 5 position provides confidential support to the Deputy Chief Financial Officer (DCFO), serving as the principal assistant with delegated authority to accomplish their administrative responsibilities and assignments.

Our second Administrative Assistant 5 position provides confidential support to the Deputy Chief Financial Officer of Operations (DCFOO), serving as the principal assistant with delegated authority to accomplish their administrative responsibilities and assignments.

Both of these positions could potentially support all areas within the Financial and Business Services Division within DCYF.

Some of what you will do:
  • Establish and monitor performance goals for areas under the DCFO/DCFOO
  • Exercise signature authority on administrative matters.
  • Develop and maintain the DCFOs/DCFOO confidential administrative files.
  • Assist the DCFO/DCFOO with activities related to operational management, process improvement, and performance management.
  • Serve as the primary point of contact on behalf of the DCFO/DCFOO, acting as the liaison between the DCFO/DCFOO with internal, as well as external stakeholders and partners.
  • Research, analyze, and tracks records in support of the DCFO/DCFOO Offices.
  • Coordinate and facilitate the on-boarding and off-boarding of staff to include acting as the liaison with helpdesk, facilities, telecommunications, IT, and other agency support personnel.
  • Process and maintain confidential records including employee investigations, grievances, hearings, disciplinary actions, and performance appraisals.
  • Work with hiring managers on HR processes to ensure compliance with policies and procedures for maintaining personnel files.
  • Create and maintain supporting performance review documentation for employee evaluations and retention efforts.
  • Coordinate personnel issues such as recruitment, selection, appointment, and promotion within the division.

Required Qualifications:
  • Two (2) years as an Administrative Assistant 3
OR
  • One (1) year as an Administrative Assistant 4
OR
  • The equivalent combination of education and experience.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:
  • A Bachelors degree in business administration, public administration or closely allied field.
  • Three (3) years of administrative or supervisory experience.
  • Previously demonstrated proficiency in the Microsoft Office Suite.
  • Previously demonstrated in-depth knowledge of government organization and administrative procedures; government functions; office methods and procedures.
  • Previously demonstrated ability to identify opportunities for process improvement.
  • Previously demonstrated ability to communicate effectively, both in writing and in speech.
  • Ability to prioritize work for self under competing priorities, handle short deadlines, remain calm under pressure and work independently in a complex environment.
