Job Title: Administrative Assistant
Location: Clearwater, FL
Schedule: Monday - Friday
Pay: $24.00 starting or based on experience
Experience: 3-5 years admin experience
Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to support the Executive Vice President and multiple departments. This role covers a wide range of responsibilities including HR, compliance, corporate records, marketing, and sales support. The ideal candidate is highly organized, proficient in Microsoft Office 365, and comfortable working in a fast-paced manufacturing environment.
Responsibilities:
- Maintain company records, process customer/vendor onboarding applications, and assist with insurance and benefits renewals.
- Draft and update work instructions and standard operating procedures to ensure ISO compliance.
- Organize and coordinate company events, awards programs, and recurring mailings.
- Must have experience with audits, accounting, and financial record keeping
- Manage electronic and paper personnel files, including audit preparation and portal uploads.
- Support sales and marketing campaigns, mailing lists, and promotional activities.
- Maintain compliance documentation, including OSHA logs, RoHS/REACH reports, Conflict Minerals Reports, insurance certificates, training records, and EEO1 reports.
- Handle multiple projects simultaneously while ensuring accuracy and timeliness.
Qualifications:
- High school diploma required, advanced education a plus.
- 3–5 years of administrative experience.
- Proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, Access).
- Knowledge of CorelDRAW or equivalent design software a plus.
- Strong written, verbal, and professional communication skills.
- Ability to work independently with minimal supervision.
- Manufacturing or industrial sales background preferred.
