Position Overview

The Administrative Assistant provides essential support to the Central Office by ensuring efficient, professional daily operations. This role handles front-office communications, scheduling, recordkeeping, and general administrative functions. The ideal candidate is organized, dependable, detail-oriented, and able to manage multiple tasks in a fast-paced environment. First-time applicants are welcome to apply.

Essential Duties and Responsibilities
  • Answer, screen, and direct incoming calls
  • Manage and respond to general office and internal communications
  • Maintain accurate filing systems, both digital and physical
  • Schedule appointments and meetings
  • Assist with the preparation of reports, forms, correspondence, and presentations
  • Perform data entry and maintain internal tracking systems
  • Support staff with administrative and clerical tasks
  • Order, organize, and maintain office supplies
  • Assist with note-taking and recordkeeping during meetings
  • Handle incoming and outgoing mail and mailing processes
  • Utilize design and document tools such as Canva and Adobe when needed
  • Proofread documents for accuracy, spelling, grammar, and formatting
  • Assist with special projects and additional duties as assigned by leadership

Minimum Qualifications
  • High school diploma or equivalent required
  • Prior administrative, clerical, or office experience preferred (not required)
  • First-time applicants and entry-level candidates are encouraged to apply
  • Basic knowledge of office procedures and equipment
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational, multitasking, and time-management skills
  • High attention to detail and accuracy
  • Clear, professional written and verbal communication skills
  • Ability to work independently and maintain confidentiality
  • Familiarity with reporting, recordkeeping, or internal communication systems
  • Experience using Canva, Adobe, or similar design platforms

Schedule and Hours
  • Part-time: Approximately 20 hours per week
  • Opportunity for full-time placement based on performance and business needs
