Job Summary
 S.J. Julian & Co. is a well-established accounting firm seeking a professional and friendly Administrative Assistant to be the first point of contact for clients and visitors. This role plays a key part in ensuring smooth day-to-day operations, providing exceptional customer service, and supporting our team during the busy tax season. 

Responsibilities 
  •  Greet clients and visitors in a professional and courteous manner 
  •  Answer and direct incoming phone calls and respond to voicemail messages promptly 
  •  Manage appointment scheduling for accountants and tax professionals 
  •  Monitor and respond to emails sent to the general office inbox 
  •  Handle incoming and outgoing mail and packages 
  •  Receive and log client documents and tax materials; assist with organizing and scanning documents into the system 
  •  Maintain a clean and organized reception area 
  •  Assist with assembling and organizing tax returns and client packets 
  •  Provide administrative support to staff as needed, including data entry, filing, and managing office supplies 
  •  Uphold confidentiality and discretion with sensitive client information 
Qualifications
  •  Prior experience in a receptionist or administrative role, preferably in a professional office environment 
  •  Excellent communication and interpersonal skills 
  •  Strong organizational skills and attention to detail 
  •  Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and general office equipment 
  •  Experience with document management systems or tax software (a plus, but not required) 
  •  Friendly, reliable, and professional demeanor
