Job Description
Job Summary:
The Administrative Assistant to the Executive Team provides direct support to the President, Business Development, and Client Services teams, while also assisting with general office operations. This role is responsible for administrative coordination, event logistics -including conference planning - and providing day-to-day support to the office operations. The ideal candidate is organized, detail-oriented, and comfortable collaborating across departments in a fast-paced, client-focused environment.
Duties & Responsibilities
Executive & Client Services Support
- Prepare materials and supporting documents for client meetings and renewals.
- Assist with administrative tasks including calendar management, task tracking, and internal communications.
- Create, maintain, and organize both digital and physical filing systems for client documentation and correspondence.
- Support planning and logistics for client-facing events, trade shows, and industry conferences.
- Coordinate travel arrangements, venue logistics, and promotional materials in collaboration with marketing or events staff.
Office Support
As a backup to the Office Coordinator, responsibilities include:
- Answer and route incoming calls through the main switchboard; respond to general information requests.
- Manage incoming and outgoing mail, including opening, date stamping, uploading, distributing, and preparing mailings or packages.
- Index and organize correspondence to ensure accurate tracking and recordkeeping.
- Monitor and maintain office supplies and ensure the office remains tidy and organized.
- Provide general office and administrative support to departments as needed.
Qualifications & Competencies
- Prior experience in an office coordinator, administrative assistant, or front desk role preferred.
- Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills with a professional, welcoming demeanor.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment and systems.
- Dependable, adaptable, and proactive in anticipating and addressing office needs.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift 20 pounds.
