Where We Serve
United Way of Greenville County serves individuals and families throughout Greenville, Greer, Mauldin, Simpsonville, Fountain Inn, and Travelers Rest, as well as surrounding communities like Berea, Judson, Gantt, Sans Souci, and Taylors.
Position Summary
The Administrative Assistant provides comprehensive administrative and operational support to multiple departments across United Way of Greenville County. This position plays a key role in ensuring smooth internal coordination, well-organized meetings and events, accurate documentation, and effective communication. The Administrative Assistant supports Community Impact initiatives, internal operations, and organization-wide activities through proactive, detail-oriented administrative assistance.
Key Responsibilities
Administrative and Operational Support
· Provide administrative support to multiple departments, including scheduling, document preparation, data entry, and coordination of routine administrative tasks.
· Support the Community Impact Executive Assistant with calendar management, meeting logistics, and administrative follow-up as assigned.
· Maintain organized electronic and physical filing systems in accordance with organizational standards and retention requirements.
· Assist with expense tracking, purchasing requests, and invoice processing in accordance with internal policies.
Meetings and Event Support
· Coordinate logistics for meetings, trainings, and community events, including room reservations, virtual meeting setup, agendas, materials, catering, and technology needs.
· Prepare meeting packets, presentations, sign-in sheets, and other materials as requested.
· Provide on-site or virtual support for events and meetings, including setup, registration, attendance tracking, and breakdown.
· Assist with post-event follow-up, including thank-you communications, surveys, and documentation.
Community Impact and Program Support
· Assist with coordination of community partner meetings, volunteer activities, and outreach events.
· Maintain accurate contact lists and databases related to community partners, committees, and stakeholders.
Communication and Coordination
· Draft routine correspondence, emails, and internal communications on behalf of leadership as directed.
· Support interdepartmental communication by sharing timely updates, event details, and administrative information.
· Coordinate with vendors, community partners, and volunteers regarding logistics and administrative needs.
Data, Reporting, and Systems Support
· Enter and update data in internal systems, spreadsheets, or databases with a high degree of accuracy.
· Assist with preparation of basic reports, summaries, and dashboards for internal use.
· Support document version control and ensure materials are current and properly stored.
General Office Support
· Provide front-line administrative coverage as needed, including phone and email support.
· Assist with onboarding logistics for new staff, interns, or volunteers, such as scheduling, materials preparation, and workspace readiness.
· Perform other administrative duties as assigned to support the overall mission and operations of United Way of Greenville County.
What We’re Looking For
Experience, Skills, & Abilities
· High school diploma or equivalent required; associate degree or coursework in business administration or a related field preferred.
· Two or more years of administrative experience, preferably in a nonprofit or mission-driven organization.
· Preferred: Bachelor’s degree or equivalent combination of education and experience. Three or more years of experience in volunteer management, event coordination, nonprofit program management, or related fields.
· Strong relationship-building and customer-service skills; comfortable working with corporate leaders, volunteers, and community partners.
· Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
· Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook; experience with virtual meeting platforms preferred.
· Excellent written and verbal communication skills with a polished and professional presence.
· Ability to maintain confidentiality and handle sensitive information with discretion.
· Demonstrated ability to work collaboratively across departments and with diverse stakeholders.
· Excellent project management skills with the ability to manage multiple events and priorities simultaneously.
· Experience with volunteer management software and CRM systems preferred.
· Ability to work occasionally nights and weekends for special events.
· Flexible and adaptable, with the ability to respond to changing priorities and think strategically when navigating challenges.
