 We are looking for a detail-oriented Administrative Assistant to support the Foundation’s accounting and administrative needs by ensuring accurate and timely processing of data and providing superior customer service.

 Duties and Responsibilities

  • For all Community Learning Center Programs, maintain student attendance for 750+ students in Transact database indicating student weekly session attendance.
  • Generate regular account statements and communicate any past due balances with account holder
  • Enter expenses in OMEGA for VDOE funding and process payments for federal, state and local grants including entries in relevant agency reimbursement systems 
  • Maintains Out of School Time staff training files in accordance with VDOE Licensing standards including tracking expiration dates, uploading certificates, and following up on training completion. Conducts quarterly staff file audits to ensure minimal licensing violations.
  • Administers Fieldprint fingerprint process with the public based on pre-scheduled appointments
  • Check HEF P.O. Boxes and distribute mail to appropriate recipients
  • Screens visitors, calls, signs for packages, and directs mail to appropriate recipients.

Requirements

  • 2+ years’ administrative experience, and/or data entry experience
  • Proficient working with databases
  • Proficient in MS Office
  • Excellent organizational skills
  • Detail oriented
  • Ability to multi-task with excellent time management skills
  • Ability to work with confidential information
  • Excellent communication skills
  • Reliable team player

Benefits

  • Salary Range:  $45-$50k
  • Benefits include HCPS health and dental plans, retirement contribution and match, generous paid time off and holidays, mileage and phone stipend, and flexibility to support a healthy work-life balance.
  • This is a full-time position located in our main office.
