Position Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This dynamic role ensures the smooth day-to-day operation of our office while providing critical support to our accounting and field staff. The ideal candidate is a strong communicator, thrives in a fast-paced environment, and can multitask effectively.
Key Responsibilities
Answer and direct calls on a multi-line phone system.
Schedule estimate appointments and coordinate with the sales team.
Respond to website inquiries and manage the general email account.
Maintain call logs and report data during team meetings.
Address client questions and concerns or delegate appropriately.
Assist with marketing efforts and follow up with clients.
Support accounts payable and accounts receivable processes.
Order and manage office supplies.
Perform light housekeeping duties.
Prepare documentation such as proposals, policy updates, and marketing reports.
Provide additional administrative support to the sales team as needed.
Qualifications
Required:
High School Diploma or equivalent.
Proficiency with computer systems and office software.
Previous experience as an Administrative Assistant, Receptionist, or similar role.
Strong organizational skills with excellent attention to detail.
Professional phone etiquette and strong written/verbal communication skills.
Ability to multitask and work independently as well as in a team setting.
Preferred:
Customer service experience.
Accounts payable and receivable knowledge.
Familiarity with roofing terminology (a plus, not required).
