Job Title: Administrative Assistant II
Shift Time: 8:00AM – 5:00PM
Location: 125 Colfax Street Springdale PA USA 15144
Pay rate: $ 24.00 - 28.80/hour on W2
Description:
We are seeking a detail-oriented and skilled Documentation Specialist to develop, maintain, and improve internal documentation, including Standard Operating Procedures (SOPs), quick reference guides, and visual aids. The ideal candidate will play a critical role in standardizing processes, supporting operational efficiency, and enhancing overall productivity across the organization.
Key Responsibilities:
• Develop, write, and update clear, concise, and accurate internal documents such as SOPs, quick reference guides, and visual guides.
• Collaborate with subject matter experts (SMEs) and operational teams to gather information and ensure documentation reflects current practices and compliance requirements.
• Design visual aids, flowcharts, diagrams, and other graphical elements to complement written content and improve user comprehension.
• Ensure all documentation adheres to company standards, branding guidelines, and regulatory requirements.
• Organize and maintain a centralized repository for internal documents to facilitate easy access and version control.
• Conduct regular reviews and updates of documentation to reflect process changes, improvements, or feedback from users.
• Provide training or support to employees on how to use documentation effectively.
• Identify opportunities to streamline documentation processes and improve clarity and usability.
• Support cross-functional teams by providing documentation expertise during process improvement initiatives.
Qualifications:
• Bachelor’s degree in English, Technical Communication, Business Administration, or a related field preferred.
• Proven experience in technical writing, documentation, or a similar role, preferably within an operational or manufacturing environment.
• Strong ability to translate complex processes into clear, user-friendly documents.
• Proficiency with documentation tools such as Microsoft Office Suite, Adobe Acrobat, Visio, or other diagramming software. Experience with content management systems (CMS) is a plus.
• Excellent written and verbal communication skills.
• Strong attention to detail and organizational skills.
• Ability to work collaboratively with diverse teams and manage multiple projects simultaneously.
• Familiarity with quality management systems (QMS) and regulatory standards relevant to the industry is advantageous.
