Job Title: Administrative Assistant III

Job Summary:


Key Responsibilities:

Administrative Support 40%

  • Provide administrative support to the division and individual faculty, exercising confidentiality, tact, and diplomacy. This will include attending all staff Division or Department meetings and contributing to any ongoing projects.
  • Manage & coordinate complex faculty schedules/calendars/meetings as needed to include clinical activities and administrative responsibilities. This includes scheduling meetings, coordinating clinical activities with the clinic and OR staff/calendars, anticipating potential conflicts, and facilitating increased efficiency with effective calendar management and routine review of schedules.
  • Assist faculty with travel by booking airfare, hotel and rental cars when necessary, obtaining department approval for travel, University Approval for international travel, creating itineraries, and completing expense reports per CU policies and procedures; as well as maintaining faculty CVs and various web-based profiles.
  • Independently manage patient, referral, and scheduling work queues, EPIC in-basket messages, online patient scheduling requests, and provider clinic templates for multiple Urology clinic locations across the Denver Metro area.
  • Serve as a liaison for the patients about all non-clinical issues; resolve and/or triage issues based on independent judgment. This might include managing phone calls and transfers, handling sensitive information, and scheduling patient visits.
  • Basic administrative needs across the division including: maintaining division contact lists and organizational charts; mail retrieval and distribution; general office cleanup; maintain e-mail distribution lists, printing services, supply ordering; coordinate conference room reservations; maintaining monthly physician on-call schedules; event management; and organization.
  • Perform other duties as assigned by the Officer Supervisor, Business Program Manager, Division Administrative Director, or Division Head.
  • Schedule patient visits, including completing data entry in Epic and preparing all necessary documentation within medical records for the physician to review, obtaining referrals and authorizations as necessary for all clinic patient encounters, in-office and offsite procedures, and surgeries.

Human Resources and Faculty Affairs Support 30%

  • Perform day-to-day transactions related to HR activities for the Divisions including but not limited to: position requests, job postings, hiring, terminations, FRF preparation, drafting and finalizing LOOs and non-compete agreements
  • Assist with recruitment of faculty, including managing interview scheduling, arranging travel, and providing administrative support for the search committee as needed
  • Assist with the onboarding process for new faculty and staff including gathering all required documents, coordinating access, reviewing training requirements, and providing resources
  • Coordinate, monitor, maintain and process licensing, privileging, initial and re-credentialing of faculty
  • Support faculty with the promotion process (Dossier) as outlined by the School of Medicine
  • Assist the Administrative and Business Operations Manager with project support, data gathering, entry and administrative support

Accounting and Finance Support 20%

  • Within delegated financial authority, assists with purchasing and procurement
  • Serve as a fiscal staff member for the Divisions and coordinates other procurement related activities and policies, including purchase orders and payment vouchers
  • Adhere to current financial policies and procedures; independently seek training and guidance on new policies and procedures.

Communication and Marketing Support 10%

  • Assist with managing division website ensuring content is current and dynamic
  • Assist with managing division social media accounts including Facebook, Twitter and Google Business
  • Assist with coordinating educational events, CME programs and other relevant activities to physician groups and existing referral sources to support service growth. Schedules physician marketing meetings and follows up with additional resources as needed
  • Actively work with faculty and staff to create or curate marketing content for social media posts, blogs, videos, and other strategies used to effectively promote the surgical practice

Minimum Qualifications (Administrative Assistant III)

  • Three (3) years of relevant experience in an occupation related to the work assigned to this position

OR

  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years
  • Appropriate education will substitute for the required experience on a year-for-year basis

Preferred Qualifications

  • Bachelors degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
  • Experience with University of Colorado systems including Concur, COR360, and CU Marketplace.
  • Experience managing multiple schedules using Outlook
  • Experience with EPIC Health Record System, Amion
  • 3+ years of patient/client-facing experience
  • Medical office experience
  • Microsoft Office (Outlook, Word, Excel and PowerPoint) proficiency

  • Interpersonal skills with the ability to provide excellent customer service, while ensuring fiscal compliance and policy/rule adherence
