Position Summary

Join this client's Specialty division as a Corporate Account Administrative Assistant and become a pivotal part of a high-performing sales team. In this hybrid role, you will provide critical administrative support to corporate account managers, helping to manage high-volume requests, process contracts, coordinate orders, and ensure customer satisfaction. This is an excellent opportunity for a highly organized, analytical, and communicative professional who thrives in a dynamic, customer-facing environment.

Key Responsibilities

  • Maintain strong relationships with both internal teams and external customers, understanding their needs and expectations.
  • Process and schedule new opening orders, mass product orders, and recurring monthly/annual billings for digital products.
  • Create, update, and maintain pricing contracts using the Contract Management System.
  • Manage 3rd party customer catalog portals and update pricing as needed.
  • Communicate with executive-level customers on behalf of corporate account managers.
  • Assist in resolving customer issues, including invoice discrepancies, product concerns, credit adjustments, and service inquiries.
  • Process legal contracts via AdobeSign, including data validation, obtaining approvals, and archiving executed documents.
  • Maintain accurate customer master data (e.g., contracts, discounts, contact details) and submit change requests.
  • Use the SaaS system to create and manage digital order records.
  • Generate and review monthly reports and provide ad hoc reporting as needed.
  • Provide back-up support to administrative colleagues when required.

Qualifications

Required:

  • High School Diploma or GED
  • 3 years of sales support experience
  • Advanced Excel skills (including VLOOKUP, pivot tables, filters, concatenate)
  • Intermediate proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook)
  • Familiarity with SAP or similar systems

Preferred:

  • Bachelor’s Degree
  • 5 years of customer service experience
  • 2 years of project management experience


Soft Skills

  • Strong communication skills (verbal and written)
  • Critical thinking and problem-solving mindset
  • Ability to manage competing priorities and deadlines
  • Confidence, enthusiasm, and a willingness to learn
