REPORTS TO: Director of Immigration Legal Services
JOB OBJECTIVE: The Administrative Assistant provides administrative support to the Immigration Legal Services Department (ILS).
This is a Full-Time position for 37.5 hours per week and is paid hourly.
The essential job duties include but are not limited to:
- Serving as the primary contact between ILS staff and clients, callers, walk-ins, and volunteers.
- Answering department phones, taking messages, and distributing information as directed to staff, clients, and callers.
- Providing initial screening of clients for eligibility for legal services offered by
ILS.
- Process-sort incoming/outgoing mail, faxes & courier deliveries for distribution.
- Timely and accurately maintaining client paper and electronic files to support
ILS staff/caseworkers.
- Typing, translation, data entry, copying, scanning, and other clerical duties in support of ILS Staff.
- Assisting ILS Staff as directed with the preparation, translation, delivery and/or mailing of correspondence and documents.
- Assisting ILS Staff with in-person or phone translations as needed.
- Inputting data for agency statistical needs and grant reports.
- Strict compliance with confidentiality standards.
- Strict compliance with agency and departmental policies and procedures.
- Performing other tasks as directed by the ILS Director.
SUPERVISORY RESPONSIBILITIES:
This position does not have supervisory responsibilities.
MINIMUM QUALIFICATIONS FOR CONSIDERATION:
- Fluent in reading, writing, and speaking of Spanish and English.
- High School Diploma or Equivalent
- At least one year of clerical or secretarial experience.
- Legal (and/or immigration) knowledge preferred.

- Excellent computer skills: Proficiency in Microsoft Office S and willingness and ability to learn our electronic case management software.
PHYSICAL REQUIREMENTS
This is sedentary work that requires the following physical activities:
- Sitting for long periods of time, walking, finger dexterity, feeling, repetitive motions, talking, hearing, and visual acuity.
- Occasional lifting (up to 10 pounds of computer equipment or paper supplies).
- May be required to travel by car or plane to business events or other company locations. Travel may require prolonged sitting or standing.
- Accommodation may be made for some of these physical demands for otherwise qualified individuals who require and request such accommodation.
WORKING CONDITIONS:
- Normal office environment.
- May be subjected to fast-paced decision making, crisis situations.
- Unless otherwise directed by the ILS Director, work promptly commences at 8:00 AM.
