Job Description:
- We are seeking a detail-oriented and highly organized Administrative Assistant to support our procurement team in a critical short-term project.
- The successful candidate will be responsible for reaching out to suppliers to confirm delivery dates on a large volume of purchase orders, ensuring timely and accurate information is obtained and documented.
- This role requires a professional who can manage a fast-paced environment, effectively communicate with vendors, and maintain meticulous records.
Responsibilities:
- Supplier Communication: Initiate and maintain clear, professional communication with suppliers to confirm and verify delivery dates for purchase orders.
- Order Verification: Review and manage hundreds of purchase orders, ensuring all details are accurate and up to date.
- Documentation: Accurately document and update delivery confirmations in the system, ensuring all data is organized and easily accessible.
- Follow-up: Demonstrate persistence and a strong sense of urgency in following up with suppliers to secure timely responses and resolve any discrepancies.
- Coordination: Collaborate with the procurement team to address any issues related to delivery dates, ensuring alignment with project timelines.
Education:
- High School Diploma or GED required.
Experience:
- Previous experience in an administrative or procurement support role is preferred.
Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Ability to work independently and meet tight deadlines.
