Administrative Assistant

Position Summary:

The Administrative Assistant serves as the welcoming first point of contact for the organization while also providing essential administrative support to Corporate Management and multiple departments. This role is responsible for managing front desk operations, engaging with visitors and clients, handling incoming communications, and supporting a wide range of office and operational functions. The ideal candidate will demonstrate strong communication skills, exceptional attention to detail, and the ability to handle confidential information with professionalism, discretion, and organization.

Key Responsibilities:

  • Monitor and manage general company inboxes, routing messages to appropriate individuals or departments
  • Greet visitors and clients with professionalism and direct them appropriately
  • Sort, distribute, and prepare incoming and outgoing mail and packages
  • Assist with data entry, report generation, and special projects
  • Prepare and edit documents, reports, and correspondence
  • Maintain accurate filing systems, records, and databases while ensuring confidentiality
  • Support initiatives focused on improving operational efficiency and effectiveness
  • Centralize and maintain supply ordering across the organization
  • Assist with documenting, maintaining, and improving internal work processes
  • Provide day-to-day administrative and operational support to departments and team members
  • Serve as a liaison between departments and external contacts as directed
  • Perform additional duties as assigned

Qualifications:

  • High School Diploma required; Associate’s degree preferred
  • Minimum of 2 years of administrative or office support experience
  • Financial services or insurance industry experience a plus
  • Prior experience in a professional, fast-paced environment strongly preferred
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to learn industry-specific systems, i.e., Applied Epic
  • Strong written and verbal communication skills
  • Excellent organizational skills with strong attention to detail
  • Ability to prioritize and manage multiple responsibilities effectively
  • High level of professionalism, confidentiality, and discretion
  • Ability to pass a criminal background check, as permitted by law

Physical Requirements:

  • Frequently sit, stand, and walk
  • Regularly required to talk or hear
  • Frequently required to use hands or fingers to handle or feel objects, tools, or controls
  • Occasionally required to climb or balance, stoop, kneel, crouch or crawl
  • Occasionally lift and/or move up to 25 pounds
  • Vision abilities to include close vision, distance vision, peripheral vision, and the ability to adjust focus
  • The noise level in the work environment is usually moderate
  • Temperature in the workplace is typically moderate, though the ability to withstand seasonal cold and heat of the outdoors is necessary

Hours: Monday-Friday, 8:30am-5:00pm
