Job Description- Responsibilities: Provide workflow support by analyzing operational needs and developing processes to support M&FR, Casualty, and Resilience initiatives and existing services Communicate and coordinate closely with the Airman & Family Readiness Operations Division (AFPC/DPFF) team, Casualty Matters Division (AFPC/DPFC) team and the Integrated Resilience (AFPC/DPFZ) team, including development of Area of Responsibility (AOR), administrative processes and procedures Provide support with a mixture of technical experts who possess the skills and experience needed to understand working with AFPC/DPFF/DPFC/DPFZ's workflow business systems to include tracking and support services for activities by using various tools to accomplish assessments and data entry and information management analysis Responsible for workflow support to AFPC/DPFF/DPFC/DPFZ as determined by Branch/Division Chiefs Have a thorough understanding of the mission, objectives, and organizational structure (on and off-site; Federal and contractor) of the office to which assigned, to better interface and facilitate communications with others Participate and document meetings, conferences, etc. Schedule and maintain a calendar of assigned meeting space for each division's meetings within the on-site facilities. Maintain internal/external calendars (standard/regular courses, round tables, summits, meetings outside of DPFF/DPFC/DPFZ, etc.). Perform all actions required to schedule, coordinate, and setup/connect for virtual meetings, trainings, roundtables. Collaborate with program managers and coordinate site visit agenda(s) with installation M&FRC Flight Chief and Major Command (MAJCOM) gatekeepers (ex: congressional staffers, OSD staff, etc.). Assist the assigned staff with official travel requirements. Access and monitor AF Family Integrated Statistical Tracking (AFFIRST) System inputs. Review AFFIRST Download Center; add, remove files as appropriate. Publish announcements in AFFIRST (approval through Branch/Division Chiefs). Maintain and distribute DPFF/DPFC/DPFZ org charts, as needed. Organize, inventory, and create purchasing lists for office supplies and promotional items; ensuring needs and product/item availability for all conferences/exhibits ahead of time; schedules pick up arrangements etc. Assist with packing large boxes and schedules shipping/pick up arrangements and informs Branch/Division Chiefs of costs. Coordinate with staff and installation M&FRCs on installation-level informational papers for Branch/Division Chiefs review. Manage Microsoft Teams calendar, update new members, delete obsolete members, etc. Supports technical aspects of program specific round tables and division meetings with M&FRCs staff. Calendar(s) Maintenance (weekly) and determine/input to AFPC Engagement Tracker: Manage Programs Round Tables and Division meetings with M&FRCs and provide weekly updates to Branch/Division Chief on all taskers. Provide administrative and logistical support for the M&FRC Certification program. Format slides with program manager inputs to ensure presentations meet Air Force Personnel Center (AFPC) presentation requirements. Coordinate with Program Manager to publish round tables/trainings for the year. Collaborate with Certification Program Manager and schedule on-site visits to installations. Monitor and maintain names, email addresses and telephone rosters for the MAJCOM A1s, installation FSS/CCs, CD, and M&FRC Flight Chiefs. DAF Retiree Council administrative/logistical support for annual council meetings (set up, registration table, escort guests, etc.). Interact with AFPC/DPFF/DPFC/DPFZ leadership and staff to assist as needed with all events, including internal and external event coordination. Develop tools to track associated tasks, metrics, and other staff requirements. Responsible for administrative support to AFPC/DPFC as determined by the Division/Branch Chiefs Provide administrative support for Casualty and Missing Airmen/Guardian Cases/records. Provide branch staff administrative support for four annual CAR training events (2-Initial/2-Refresher). Coordinate with DPFC Division/Branch Chiefs to order and maintain approved inventory of standard office supplies for assigned staff utilizing approved process and procedures. Provide a monthly status report on the current activities to the COR and CO. Schedule and attend monthly progress reviews with each of the AFPC Division Chief (DPFF/DPFC/DPFZ). Qualification Minimum of three years of experience in developing and executing administrative duties through a variety of platforms. Familiar with commonly accepted professional guidelines and formats Possess a minimum of an associate degree (administrative management/operations, communication, business writing, etc.) or equivalent work experience. Must be able to read, understand, speak, and write in English. Excellent written and oral communication skills. Exceptional interpersonal skills, strategic problem-solving skills, strategic program communications.
