Administrative Assistant
The Administrative Assistant is the liaison for a multifaceted day habilitation program under the direct supervision of the Assistant Director, DDP and serves as primary contact and resource for employees,providers, and visitors for administrative information not limited to: responding to questions, request, or needs based on specific knowledge of the program and its operations.
Job Description
The Administrative Assistant is responsible for overseeing employee requests and specified direction under the Executive Team: CEO, COO, and Assistant Director, DDP as followed:
Ensure the center’s administrative needs are being met in a timely manner
Resolves routine administrative problems independently
Maintain agency calendar
Schedule and conduct trainings
Answer telephone calls and emails in a professional and courteous manner
Schedules and verifies authorization of community outings for future events
Maintain databases, logs, and other records of routine information
Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.
Preferred Qualifications :Associates Degree in Administrative Assistant
Understanding Intellectual Disability and DBHDD compliance
Experience using CareSoft or electronic records systems, IDD Connect, Georgia Collaborative, and Beacon Health
Ability to adapt to on-going changes and request
Excellent attention to detail, multitasking, excellent customer service & interpersonal skills
Answer multi-line phones, schedule appointments,
Requirements/Competencies:
High school diploma/equivalent or administrative certification
3-5 years of general office or administrative experience
Must beat least 21 years of age
Excellent data entry, email/ scans/downloads using Google Extensions, Adobe,
Requires long periods of sitting/standing
Candidates for selection must pass a criminal background check (including fingerprinting)
Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities (CPR/First Aid)
Valid driver's license
Excellent organizational and problem solving skills
Strong oral and written communication skills
Job Assignment and Pay
Ability to work 30-35 hours per week, Monday-Friday
