Reports To: Inventory/Planning Supervisor
Classification: Full-Time | Non-Exempt
Shift: Monday Friday, 7:00am 3:30pm (or standard office hours)
Compensation: $18-21/hr DOE

1. Job Summary

The Administrative Assistant provides direct support to the Inventory and Planning Supervisor by handling data entry, purchase order processing, and general administrative tasks. This role plays a key part in ensuring accurate documentation and smooth coordination between departments. The ideal candidate will have prior experience in a manufacturing or warehouse environment and be proficient in Microsoft Office, particularly Excel.

2. Essential Duties & Responsibilities

Administrative & Data Entry Support

  • Enter and update purchase orders and inventory data in company systems.

  • Maintain and organize electronic and physical records related to inventory and planning activities.

  • Perform accurate and timely data entry to support production and purchasing operations.

  • Assist in generating and maintaining Excel spreadsheets and tracking reports.

Department Coordination

  • Support the Inventory and Planning Supervisor with daily administrative needs.

  • Communicate with internal departments to gather and verify required information.

  • Assist with filing, document preparation, and other clerical duties as assigned.

  • Follow up on pending documentation or order updates as needed.

Reporting & Documentation

  • Prepare and update routine reports for management review.

  • Assist with maintaining accurate purchase order and inventory records.

  • Identify and communicate discrepancies or missing data to the supervisor.

3. Qualifications
  • Minimum 2 years of administrative or data entry experience, preferably in a manufacturing or warehouse environment.

  • Proficient in Microsoft Office, especially Excel (required).

  • Strong organizational skills with attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks and meet deadlines in a fast-paced setting.

  • Familiarity with ERP or inventory systems preferred.
