Job Description
We are hiring on behalf of a great client in San Juan Capistrano seeking a highly customer-focused Front Counter / Administrative Support professional on a contract basis. This role is very front-facing and phone-heavy, ideal for someone who enjoys interacting with the public, providing excellent service, and being the first point of contact in a busy office environment.
Key Responsibilities:
- Serve as the primary front counter representative, greeting visitors and assisting with in-person inquiries in a professional and friendly manner
- Answer and manage a high volume of incoming calls, routing appropriately and providing helpful, accurate information
- Deliver excellent customer service to the public, vendors, and internal staff both in person and over the phone
- Respond to general inquiries, assist with requests, and ensure timely follow-up
- Perform data entry and maintain accurate records, logs, and internal systems
- Assist with document processing, scanning, and filing (both electronic and paper)
- Help distribute and track documents such as invoices and internal forms
- Support general clerical and administrative tasks to keep daily operations running smoothly
Qualifications:
- At least 2 years of experience in a customer-facing administrative, receptionist, or front desk role
- Strong customer service skills with a friendly, professional, and patient demeanor
- Comfortable handling a high volume of phone calls and in-person interactions
- Proficient in Microsoft Office (Word, Excel, Outlook) and quick to learn new systems
- Strong attention to detail, organization, and multitasking abilities
- Ability to work in a fast-paced, team-oriented environment while maintaining a positive attitude
