TITLE: Administrative Assistant (Part-time)
DEPARTMENT: Continuing Education (CE)
REPORTS TO: Dean of Continuing Education
STATUS: Temporary, hourly, Part-time, Monday through Friday, 10 a.m. to 3 p.m.
SALARY RANGE: $16-20 / hr.

FUNCTION:
Provide administrative support to the Dean and Associate Director of Continuing Education. Provide technical support for postgraduate and continuing education programs. May involve occasional weekends and evening hours. This position is expected to be offered for one year.
ORGANIZATIONAL RELATIONSHIPS:
Reports to the Dean of Continuing Education; indirectly reports to the Associate Director.
SPECIFIC DUTIES AND RESPONSIBILITIES:
- Set up asynchronous online CE programs and attach course materials.
- Support and maintain all asynchronous CE content.
· Serve as registrar for sponsored weekday and weekend seminars.
- Assist in training departmental staff and work-study.
- Serve as customer service representative using telephone, email, and website.
- Provide guidance to doctors regarding continuing education programs to meet their licensure, certification, and/or providership requirements.
- Assist doctors in the registration and payment process for sponsored programs in the various delivery systems, to include classroom, webinar, and online courses.
- Set up webinar programs and attach course materials
- Host/moderate sponsored webinar programs.
- Coordinate and train the instructors of sponsored online programs so they have a full understanding of the course delivery format.
- Process attendance rosters for sponsored and Co-sponsored programs.
- Set up and coordinate with Educational Technology department the sponsored course materials for weekend programs held in Seneca Falls, NY
- Assist in developing and distributing departmental marketing materials.
- Other tasks assigned by supervisor.
METHODS OF ACCOUNTABILITY:
- Performance evaluations by the Dean in consultation with the Associate Director.
MENTAL AND PHYSICAL REQUIREMENTS:
- Excellent written, oral, and communication skills.
- Strong customer service skills with the ability to maintain a professional demeanor in a fast-paced office environment.
- Ability to take initiative, ask questions, seek clarification, and make decisions.

QUALIFICATIONS:
- A high school diploma or equivalent is desired.
- A background of one to three years in customer service with prior office experience required.
- Knowledge of Microsoft Office and related software packages.
