This is a full-time position encompassing all aspects of data management and various administrative support for the NJCEED Program.


Essential Functions, Duties and Responsibilities


  • Understands the eligibility guidelines for the Cancer Education & Early Detection (CEED) program and performs responsibilities in accordance with these guidelines.
  • Reviews the patient medical record, for patients referred for enrollment in the CEED program, and completes the CaST form.
  • Enters patient biographical and medical data into the Med-IT and Prostate/Colorectal (PCS) databases in an accurate and timely manner.
  • Participates in weekly CEED staff meetings and reports on status of activities.
  • Collaborates with CEED program staff to send patient reminder text messages in LUMA and or phone call reminders.
  • Collaborates with CEED program staff to assist patients in scheduling appointments for services and/or transportation (Lyft).
  • Provides reports to Program Coordinator when needed, identifying issues and assists in developing solutions.
  • Assists in maintaining an organized billing system.
  • Assists in reviewing bills received from contractors (sub-grantees) and determining reimbursement rate (based on Medicare reimbursement) for services provided.
  • Assists in monthly submission of monthly invoices and bills to Program Coordinator for review and assists in submission to Dover Finance Manager for payment and recording, in an accurate and timely manner.
  • Assists in auditing monthly lab reports; create and submit monthly CEED internal lab invoice of services provided, for CEED Program Coordinator review prior to submitting to Dover Finance Manager.
  • Assists in maintaining various CEED program spreadsheets and perform audits as needed.
  • Assists in data to support reporting requirements from all grantors.
  • Participates in CEED Outreach and Education planning and programs.
  • Participates in any Zufall and/or State staff training about the CEED program.
  • Performs other duties as assigned.
Requirements:

Knowledge, Skills, Abilities


  • Extensive knowledge of computer software (Word, Excel, Databases) as well as eCW)
  • Knowledge of medical terminology and medical billing
  • Knowledge of state and federal guidelines for grant administration and grant reporting forms a plus.
  • Fluency in spoken and written Spanish preferred.
  • Learn and apply the trauma informed care principles with the scope of my position

Education, Training and Experience

  • Associate degree preferred and/or certificate in business, computer science or information systems.
  • Experience working with community service agencies
  • Knowledge of Microsoft Office, keyboarding, and use of electronic medical records
