Job Description

Serve as an administrative assistant to the Associate Dean of Research for the College of Agriculture and Life Sciences (CALS) and Director of the Virginia Agricultural Experiment Station (VAES). The successful candidate will manage and prioritize scheduling, travel, and responding to correspondence; schedule individual and group meetings; develop agendas; coordinate materials; serve as a point of contact for stakeholders; manage events; assist with internal opportunities, and communications within and outside of CALS; assist in tracking and reconciling funds within the Directors office; work collaboratively with teams within and outside of CALS including support of regional, national, and international efforts; develop and maintain databases, listservs, website content, and events. The successful candidate will ensure critical timelines are met, draft and send correspondence on behalf of the Associate Dean and Director, and supervise undergraduate assistants as needed. Professionalism, confidentiality, and flexibility are required to manage the fast-paced environment of the Directors office.

Required Qualifications

Experience in providing administrative support and coordinating the daily operations of an executive office with minimal supervision, using sound judgment, discretion, tact, and initiative. Ability to manage a large, diverse workload. Ability to build and sustain collaborative activities. Strong skills in word processing, calendar, electronic mail, and databases. Strong communication and interpersonal skills. Ability to delegate, track, and manage information on behalf of an executive. Attention to detail and self-motivation.

Preferred Qualifications

Bachelors degree or equivalent training and experience. Knowledge of university policies, programs, and systems. Demonstrated team player. Ability to exercise sound judgment and discretion in dealing with confidential and sensitive matters.
