Job Description
We are looking for an experienced Administrative Assistant to provide comprehensive office support in a dynamic environment. This is a long-term contract position based in Wakefield, Massachusetts, requiring strong organizational skills and the ability to manage a variety of administrative tasks. The role offers an excellent opportunity to contribute to the coordination of tenant services and engagement programs.

Responsibilities:
• Oversee administrative functions for multiple buildings, including managing tenant and vendor communications, tracking expenses, and processing purchase orders.
• Organize and execute tenant engagement activities such as events and programs, ensuring smooth coordination and setup.
• Facilitate engineering requests for tenant-related work, maintaining effective communication with vendors and engineers.
• Assist with conference center arrangements to meet tenant requirements and ensure seamless operations.
• Maintain accurate records related to master service agreements and other documentation.
• Handle inbound calls and provide timely responses to inquiries.
• Perform data entry tasks with precision to ensure records are up-to-date and accurate.
• Act as a liaison between tenants, vendors, and internal teams to address concerns and resolve issues.
• Offer support in various administrative duties as needed, showcasing adaptability and a proactive approach.
• Collaborate with the team to improve processes and ensure operational efficiency across the office.• Proven experience in administrative and organizational roles, ideally in a non-entry-level capacity.
• Exceptional attention to detail and a self-motivated attitude.
• Proficiency in Microsoft Office applications, including Excel and Outlook.
• Familiarity with Yardi software is highly desirable.
• Strong communication skills to effectively interact with tenants, vendors, and engineering teams.
• Ability to work onsite in a business casual environment, with occasional flexibility for overtime.
• Adaptable and willing to take on various tasks as needed.
• Excellent time management and prioritization skills to handle multiple responsibilities effectively.
