Title: Administrative Assistant

Duration: 12 months contract

Location: Indianapolis, IN 46077

Pay Range: $22- 25.00/hr. on W2

Hybrid: Onsite (Tues/Wed/Thurs) / Remote (Mon/Wed)

Shift: 8:00 AM – 5:00 PM (flexible ±1 hour)


Position Summary

• Provide administrative support to functional leaders in a fast-paced, professional environment.

• Manage calendars, travel, expenses, and communications while maintaining discretion.

• Support SharePoint sites, meetings, and cross-functional coordination.

• Act as a key liaison to ensure smooth communication across teams and stakeholders.


Responsibilities

• Support SharePoint sites owned by functional leaders

• Manage calendars, schedule meetings, and coordinate appointments

• Manage organizational announcements and internal distribution lists

• Handle sensitive and confidential information with discretion

• Organize and plan large meetings and events, including agenda development

• Serve as a primary point of contact for internal and external stakeholders

• Prepare and edit documents, presentations, and correspondence

• Manage expense reports (Concur preferred)

• Arrange domestic and international travel for leaders and extended teams

• Coordinate and support special projects as needed


Qualifications

Education:

• High School Diploma or GED


Experience:

• Minimum 2 years of administrative experience

• Experience supporting multiple stakeholders in a fast-paced environment

• Experience with travel coordination and expense management


Skills:

• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and SharePoint

• Experience with Microsoft Teams; Concur experience preferred

• Strong organizational and time management skills

• Ability to multitask and prioritize effectively

• Strong written, verbal, and interpersonal communication skills

• High attention to detail and discretion

• Proactive mindset with ability to anticipate needs

• Ability to collaborate and work effectively in team environments

  • • Comfortable working under pressure and meeting deadlines
