Administrative Assistant / Front Desk Receptionist

  • Schedule: Monday-Friday, 9am-5pm
  • Starting wage: $20-25 hourly DOE
  • Front desk, customer service, medical billing + EMR experience a plus
  • Bilingual / Spanish speaking a major plus

The location

We have a great office space centrally located in San Diego-Mission Valley.
The offices are calm and spacious with panoramic views, snacks, and plenty of parking.
Many clinicians see patients in-person, but we primarily operate via telehealth.

The work

The position is an opportunity to be part of a truly integrated team.
We have many talented clinicians who come together on a wide range of specialties.
Collaboratively, we learn/share/discuss clinical and administrative issues.
Our sharing efforts keep our team and patients prepared, informed and organized.

The administrative assistant is an integral role.
You will be the first point of contact for many new patients and will guide them through the intake process.
You should come with an unrelenting positive attitude and be able to act quickly to provide excellent service to patients, clinicians, and our partners in the community.
You'll need to be flexible and able to manage competing priorities, comfortable working in a team and on your own, and have refined organizational and time management skills.
Ideally, you'll have experience in a similar setting -- a mental health, psychological, or medical practice with a supportive and laid back environment.

Duties include

Front Desk / Reception:

  • Intake coordination, needs assessments, eligibility determinations
  • Coordination with clinical staff, clinicians, and patients
  • Customer service, answering phones, returning calls, receiving patients
  • Assisting patients with onboarding documents, patient portal
  • Maintaining a system of confidential health materials and information
  • Keeping office procedures organized and maintained
  • Clerical tasks, data entry, responding to inquiries
  • Other tasks as assigned

Medical Billing:

  • Though not required, prior experience with medical billing would be a super plus!
  • Verification of benefits / authorization for treatment
  • Investigating / collecting missed or under payments from insurance companies

Assisting the Clinicians with:

  • Transposition of progress notes
  • Inputting patient notes, records, information
  • Scheduling, rescheduling, or reaching out to patients

Assisting Management with:

  • Social media and other marketing efforts
  • Correspondence, scheduling, contacts management (CRM)
  • Supplies, decor, and coming up with great ideas!

  • Troubleshooter, problem-solver, helper, self-propelled, needs little direction
