Administrative Coordinator
Location: Bloomingdale, IL

This position works primarily in support of the executive managers handling their day to day administrative and clerical requirements. In this detail-oriented role, where your accuracy and dedication are crucial to our continued success, you will perform the following duties:
General Description:
Provide high level secretarial and administrative support for Administration Department, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the company's operations, procedures, and company culture.
Will be required to answer phones, assist with guests, and receive deliveries as needed.
Support the Administrative Manager and other managers to prepare, print, copy, record and send documents as directed.
Handle confidential information; maintain the security of the Administration Manager's records and files.
Provide and manage a variety of documents and standard reports requested by parent company.
Maintain and track company documents per company's document control procedures, including legal and administrative reports.
Work with travel agents to manage travel arrangements - to include but not limited to organizing car rentals, dinner reservations, reserving hotels and conference rooms, booking domestic and international flights, negotiating pricing, etc.
Conduct general office tasks, such as maintaining the break room and checking the office supply inventory and placing an order as required.
Must be able to perform other tasks as requested by the supervisor.
Qualifications:
Five to ten (5 to 10) years of related experience and/or training; and previous experience supporting managers at similar-sized and similar-environment (international) company strongly preferred.
Must be diplomatic, tactful, personable and able to work with varying personalities and calmly tackle any unforeseen issues.
Construction industry experience a plus
In-depth knowledge and proficiency of MS Office suites.
Must be thorough and complete all assigned tasks and responsibilities accurately and timely
Must be a team player
Education Requirements:
Minimum requirement: Bachelor's degree (B. A.) or equivalent from four-year university, with five to ten (5-10) years related experience preferred.
