JOB DESCRIPTION:

Farmingdale State College seeks to hire an Administrative Coordinator for our Civil Engineering Technology Department.

Responsibilities for this position include the following:

  • Provide administrative support to the department by scheduling appointments and meetings, record keeping and filing.
  • Create and maintain digital databases; organizing and maintaining digital and paper records.
  • Assist in the planning and management of the department budget. Perform monthly reconciliations and budget analysis.
  • Assist the department with advisement, and registration of new, transfer and current students.
  • Respond to employee inquiries.
  • Maintain an inventory of office supplies utilizing the appropriate process for purchasing goods for the department.
  • Place and track orders, including the submission of requisition forms, sourcing of vendors, and attaining quotes as needed.
  • Help organize and conduct departmental events, by securing space, equipment, sending invitations, announcements, and agendas.
  • Process purchases, requisitions, POs and assist chair in budget management.
  • Make travel arrangements and reservations for members of the department. Process travel requests and reimbursements to the dean's office.
  • Address student concerns and issues regarding academic programs and campus policies, withdrawals and registration.
  • Verify all course substitution requests prior to Chair's review. **Work with transfer services to identify and ensure all applicable transfer credit is applied.
  • Assist the chair to monitor course offerings and enrollment.
  • Review and submit adjunct and extra service requests following chair's approval.
  • Review graduation requirements with students and resolve issues associated with transfer credits and application to the degree and certificate programs.
  • Support the department by performing other duties as assigned.

Job Requirements:


MINIMUM REQUIRED QUALIFICATIONS:

  • Bachelor's degree.
  • Ability to multitask and manage various projects concurrently.
  • Experience in an office setting.
  • Proficient knowledge of Microsoft Office.

ADDITIONAL PREFERRED QUALIFICATIONS:

  • Knowledge of BANNER, Degree Works, Axiom Mentor, Adobe PDF software.
  • Knowledge of the New York Procurement System.
  • Digital sharing/cloud management experience.
  • Experience working at a College/University.
  • Graduate of Farmingdale State College.

Additional Information:


This is a full-time UUP position.

  • For the first 10 working days, beginning Thursday, February 1, 2024 and ending Wednesday, February 14, 2024, applications will be limited to UUP Farmingdale.
  • CLOSING DATE FOR RECEIPT OF APPLICATIONS: Friday, March 1, 2024
  • Salary: $50,000 + $3,087 in downstate location pay = $53,087 Total Annual Compensation.
