The Administrative Coordinator is a vital part of the patient care experience, serving as a consistent and compassionate presence for individuals navigating their fertility journey. This role plays a key part in ensuring that daily clinic operations run smoothly while helping patients feel supported, informed, and cared for. Working closely with a collaborative, multidisciplinary team, the Administrative Coordinator helps foster a seamless and supportive environment focused on delivering exceptional care.

We are seeking an Administrative Coordinator to join our dedicated team at Pinnacle Fertility – Washington. This is a full-time, onsite role working Monday through Friday from 8:30 AM to 5:00 PM, with the flexibility to be based out of our Seattle, Bellevue, or Everett clinic locations.

Key Responsibilities

  • Accurately document patient interactions, lab, and ultrasound results in the EMR.
  • Provide emotional support and respond to patient questions and concerns.
  • Schedule appointments and coordinate referrals, orders, and medical records.
  • Assist with medication prior authorizations, prescriptions, and refill requests.
  • Manage medication inventory, including samples and consignment stock.
  • Support completion of FMLA paperwork and work/school release letters.
  • Collaborate with outside agencies to support continuity of care.
  • Assist with additional administrative tasks and other duties as assigned.

Education & Experience

  • Education: High school diploma required.
  • Experience: Minimum 1 year of experience in customer service, front desk, or administrative support (preferred).
    • Experience in women's health or healthcare is a plus.
  • Skills:
    • Strong customer service skills with a professional, patient-centered approach.
    • Excellent communication, organizational, and problem-solving skills.
    • Strong time management and multitasking abilities, with the ability to work independently and prioritize effectively.
    • Empathy, adaptability, and a collaborative mindset within a multidisciplinary team.

Compensation & Benefits

  • Hourly Rate: $21.30- $30.28 per hour (final offers based on experience, skills, and qualifications).
