Administrative Professional - Entry/Mid-Level Thomas J. You : We are actively searching for an Administrative Professional to help us support our existing support staff as well as assist and facilitate the accountants and attorneys at the Firm. Days/hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. Longer work hours required during tax seasons, which include weekend hours (Spring & Fall). Compensation and benefits Base salary (commensurate with experience); Health insurance; Reimbursement for certain out of pocket medical expenses; Reimbursement of professional licensing fees and continuing education; Retirement plans (i.e., 401(k), profit sharing plans, and defined benefit plans); and Assistance with obtaining new professional degrees, professional certifications, and repayment of student loans. Job Responsibilities Manages office operations alongside the Office Manager (Alice Orme) Provides day-to-day administration through phone, email, and face-to-face communication. Corresponds and communicates with clients via email and phone. Manages tenant service requests and resolves tenant complaints. Collects and deposits rent from building tenants. Reviews and pays vendor invoices, as necessary. Assists with answering phones, taking messages, and receiving/distributing mail as needed. Organizes, sets up, cleans up, and assists with planning office events, lunches, dinners as needed. Manages Outlook calendar for partners, schedules client meetings. Assists with other related clerical duties such as photocopying, scanning, faxing, and filing as directed by the Office Manager. Assists in the ordering, receiving, stocking and distribution of office supplies. Provides administrative support and clerical assistance to the firm’s independent contractors as needed. At least 2 years of administrative and/or office management experience preferred.
