Position Overview

The Illinois Department of Children and Family Services is seeking an organized, professional, and results oriented individual to serve as Administrative Secretary. Under direction, this position will provide secretarial support and gather information for highly confidential reports, while advising the Deputy Director of significant issues. The position will also schedule meetings, coordinate meeting agendas, receive and sort mail, and answer phones. This position provides a great opportunity for someone who is focused on ensuring that supportive functions and processes are fulfilled in an efficient, effective manner. Job Responsibilities

1. Serves as Administrative Secretary for the Deputy Director of Quality Assurance

2. Performs difficult and responsible keyboarding

3. Confers with other government office representatives, providers, and the general public by providing information concerning rules, regulations, methods, procedures, proper submission of documents, and provisions of statutes relating to divisional programs

4. Answers incoming telephone calls and refers caller to appropriate party or source of information

5. Receives, date stamps, and distributes mail for assigned staff

6. Develops, organizes, and maintains files on specified project activities, materials, vouchers, and correspondence

7. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above


Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to completion of two years of secretarial or business college and one year of secretarial experience OR completion of high school and three years of secretarial experience


Preferred Qualifications

1. 4 years of administrative secretarial experience in a public or business organization, gathering materials and conducting research

2. 3 years of experience serving in a liaison capacity for a public or business organization

3. 2 years of experience answering phones and scheduling meetings in a public or business organization

Conditions of Employment

1. Requires the ability to keyboard accurately at 55 wpm.

2. Requires ability to travel in the performance of duties.
