Your Day-to-Day Will Include:
Client-Facing Magic
- Be the friendly face that greets clients with warmth and professionalism
- Answer phones and emails promptly and pleasantly
- Send appointment reminders and follow-ups to keep clients on track
- Put phones on “Night Mode” at end of day—yes, we even unplug gracefully!
Cashiering & Billing Wizardry
- Process recurring billings (WM & Non-WM)
- Prepare and send invoices
- Handle client payments
Organizational Excellence
- Keep our CRM updated with precision
- Maintain client records and software platform data
- Prepare meeting kits and ensure everything is ready for client visits
️ Document & Workflow Guru
- Assemble and bind tax returns, financial statements, and other report
- Track, scan, and store key documents
- Ensure smooth flow of e-file forms and tax materials
Support During Tax Season (AKA: Crunch Time Hero)
- Coordinate partner calendars
- Send out tax organizers and appointment cards
- Order supplies and prep materials with military-grade efficiency
Onboarding New Clients Like a Pro
- Welcome new clients with a thoughtful, organized onboarding experience
- Collect, enter, and track new client info across systems
- Share approved firm materials and make them feel at home
Office Vibes & First Impressions
- Brew the morning coffee and prep the daily newspaper
- Keep chocolates and mints stocked at the front desk
- Ensure our conference rooms sparkle after each meeting
- Maintain a clean, well-stocked kitchen and restroom
Calendar & Scheduling Coordination
- Manage appointments and conference room reservations
- Keep our schedules humming smoothly
