We are based out of Fulton MS and operate 14 divisions throughout the southeastern part of the US.   • Serve as the point person for office duties including: Maintenance, Mailing. Supplies. Equipment, Bills, Errands, Shopping 
  • Schedule meetings and appointments 
  • Organize the office layout and order stationery and equipment 
  • Organize office operations and procedures 
  • Ensure that all items are invoiced and paid on time 
  • Provide general support to visitors 
  • Assist in the onboarding process for new hires 
  • Plan in-house or off-site activities, like parties, celebrations and conferences 
  • Manage contract and price negotiations with office vendors, service providers and office lease 
  • Partner with HR to update and maintain office policies and paperwork as necessary 
  • Make travel and accommodation arrangements, which sometimes may be after hours and on weekends 
  • Calculating and reporting timecards for field employees and office personnel which includes daily hours and per diem 
  • Rack daily expenses and prepare weekly, monthly or quarterly reports 
  • Keep up with office supply inventory 
  • Manage office G&A budget, ensure accurate and timely reporting 

Requirements

Education and/or Work Experience

  • Previous experience as an Administrative Specialist (preferred)   
  • Associates degree in Business Administration or related field (preferred) 
  • High school diploma or equivalent (required) 

Preferred Skills and Abilities

  • Knowledge of Office Administrator responsibilities, systems and procedures 
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular) 
  • Hands on experience with office machines (e.g. fax machines and printers) 
  • Excellent written and verbal communication skills 
  • Attention to detail and problem-solving skills 
  • A creative mind with an ability to suggest improvements 
  • Excellent time management skills and ability to multi-task and prioritize work
