The Division of Probation and Parole is hiring for an Administrative Specialist III. This position is primarily an administrative position with the division. This position will assist with all duties associated with the accreditation process for the division. Employees within this position may report to the District Supervisor and/or Assistant Supervisors.

Responsibilities include, but are not limited to, the following:
  • Entry of data in Kentucky Offender Management System (KOMS). Run various reports in KOMS and compile information for the District Outcome Measures report (DOAM).
  • Assist District Supervisor with special projects as assigned.
  • Receive lab results from drug tests and forward to appropriate staff.
  • Maintain the inactive caseload and maintain Parole to Hold cases for inactive status.
  • Assign parole plans and transfers for investigation and form review.
  • Compile weekly reports.
  • Provide backup to Administrative Specialist II for Administrative caseload.
  • Maintain time and attendance records.
  • Assist the District Supervisor in maintaining work schedules, scheduling and setting up for staff meetings, scheduling and setting up for Morale Committee meetings.
  • Create documents needed for the office as necessary.
Preferred Knowledge/Skills/Abilities:
  • Kentucky Offender Management data base knowledge and process
  • Ability to work independently and with limited supervision
  • Strong written and oral communication skills
  • Ability to multitask
  • Ability to prioritize multiple assignments
  • Willing to take on additional task as assigned
  • Think critically and analyze data
  • Familiar with Excel and Outlook
  • Positive and helpful attitude to support the district and division as a whole
  • Ability to adapt to the ever-changing needs of the Department and Division
Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.


EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.


Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.


Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.


SPECIAL REQUIREMENTS (AGE, LICENSURE, REGULATION, ETC.): NONE
Working Conditions
Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
