GSR Group proudly owns and operates Wingstop franchise locations, providing outstanding food and exceptional service to our guests. We’re expanding our support team to include an Administrative Specialist. This role is essential in ensuring a seamless and positive experience for every guest, whether they’re asking about menu items, orders, or employment opportunities.

Job Overview:

We are looking for an organized and proactive Administrative Specialist to support daily office operations and ensure the smooth functioning of administrative tasks. This role involves handling a variety of office duties, from managing schedules and coordinating meetings to assisting with document preparation and providing support to different departments. The ideal candidate will be detail-oriented, resourceful, and able to work independently in a fast-paced environment.

Key Responsibilities:
  • Office Administration:

    • Provide general administrative support to staff and management, including scheduling meetings, managing calendars, and handling communications.

    • Maintain office supplies and inventory, ensuring that necessary resources are available.

    • Organize and file documents, both physical and digital, ensuring easy access to critical information.

  • Communication & Coordination:

    • Answer and direct phone calls, emails, and inquiries, ensuring clear communication across departments.

    • Coordinate meetings, appointments, and travel arrangements for team members and executives.

    • Prepare and distribute internal and external correspondence as required.

  • Document Management & Data Entry:

    • Assist with the preparation and formatting of reports, presentations, and other documents.

    • Maintain accurate records, input data into spreadsheets, and support the creation of reports and tracking systems.

    • Handle confidential information with discretion and adhere to privacy regulations.

  • Event Planning & Support:

    • Organize and coordinate internal events, meetings, and training sessions.

    • Assist in the logistics for conferences, company events, or client meetings.

    • Support project teams with scheduling and event-related tasks.

  • General Office Support:

    • Assist with onboarding new employees, including coordinating equipment and providing orientation materials.

    • Handle basic HR tasks such as maintaining employee records and assisting with payroll processing.

    • Provide administrative support across departments as needed, including HR, finance, and marketing.

Qualifications:
  • Education: High school diploma required. Associate’s degree or higher in Business Administration or a related field preferred.

  • Experience:

    • At least 1-2 years of experience in an administrative role or similar position.

    • Experience with office management, data entry, and handling administrative tasks is highly desirable.

  • Skills:

    • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of office equipment (printers, fax, etc.).

    • Excellent written and verbal communication skills, with the ability to interact with individuals at all levels of the organization.

    • Ability to handle confidential information with professionalism and discretion.

    • Strong attention to detail and problem-solving skills.

  • Additional Requirements:

    • Ability to work independently and as part of a team.

    • Flexibility and adaptability to changing priorities and deadlines.

    • Strong interpersonal skills and a customer-service-oriented mindset.
