Job Summary


The Administration Specialist Supervisor oversees staff performing administrative program support work for the Health Regulation Division. The supervisor is responsible for daily review of department and staff performance including assigning and monitoring the work of support staff, making recommendations for hiring and disciplinary actions, conducting performance evaluations and providing recommendations to the Administrative Manager regarding organization needs.

The position will supervise staff to ensure the accurate and timely processing of incoming applications and fees, assembling and distributing survey packets, documenting completed surveys in appropriate systems, mail expiring license letters, and provide coordination and logistics support related to meetings, advisory councils, and licensing examinations. The supervisor is also responsible for evaluating all administrative procedures and methods to ensure performance standards are being met and the division functional areas are being supported.

This position is eligible for telework for applicants residing in Minnesota, Wisconsin, Iowa, North Dakota, or South Dakota. Position location will be determined by the top candidate and will be based out of the closest MDH office location. Travel to the St. Paul office location may be required.

Qualifications

Minimum Qualifications

Two (2) years of experience working with health care regulations, public health programs or related health care field that must include either lead work, supervisory or managerial experience. Leadership experience may include leadership development programs such as Emerging Leaders Institute or Senior Leadership Institute.

The following qualifications and skills will be assessed during the interview process:

  • Excellent written and verbal communication skills sufficient to communicate clearly with staff and division leadership.
  • Human relations skills to achieve effective working relationships within MDH and with external partners.
  • Ability to plan, organize, and direct technical and administrative activities of staff and partners.
  • Demonstrated organizational, time-management and prioritization skills.
  • Ability to work under pressure and react to changes in priorities and be able to implement changes into the daily schedule.

Preferred Qualifications

  • Previous experience supervising staff in healthcare regulation or related field.
  • Previous experience with licensing examinations.
  • Knowledge of health care delivery systems, administrative processes and call center management.
  • Knowledge of MDH operations and interrelationships among the various functions and groups served by the agency.
  • Experience working with matters of confidentiality.
  • Experience recommending changes and improving work effectiveness or cost-efficiency.
